Responsibilities

As the Information Technology Administrative Assistant, your primary responsibility will be to support the IT team with procurement, asset tracking, and other administrative tasks, ensuring efficient operations and compliance with company processes.

1. Procurement & Asset Management
  • Accurately purchase and receive software, hardware, and IT-related services in alignment with company processes, needs, and budget.
  • Maintain meticulous records of IT assets, including computers, peripherals, and software licenses, ensuring all inventory is properly documented and up to date.
  • Track and manage IT equipment lifecycles to optimize usage and replacements.
2. Vendor & Contract Management
  • Oversee software licenses, IT service contracts, and vendor agreements to ensure compliance, cost optimization, and timely renewals.
  • Work closely with vendors to coordinate IT-related purchases and installations.
  • Process invoices accurately by collaborating with vendors and accounting, resolving discrepancies as needed.
  • Maintain organized records of contracts, invoices, and IT documentation for compliance and audit purposes.
  • Provide administrative support, including scheduling, reporting, and assisting with special projects.
3. Software Compliance & Administrative Support
  • Conduct software audits to ensure compliance, optimize costs, and forecast future licensing needs.
  • Maintain well-organized records of contracts, invoices, and IT documentation for easy retrieval.

What it takes

• A Bachelor's degree, 1-4 years of related work experience or a combination of both

• Knowledgeable of IT procurement, asset management, contract administration.

• Basic proficiency in MS Office and Windows; experience with asset management and purchase order (PO) systems is a plus.
