Role Overview:

This position provides support to INDOT's fixed asset area, utilizing the state's financial system (PeopleSoft Financials) INDOT"s fixed asset value is $18B as of Jan 2025. Responsibilities include coordination of the statewide fixed asset inventory and entering, updating, and maintaining the financial records associated with fixed assets. In addition, this role serves as the primary disposition agent for INDOT, overseeing all administration of 13812 forms, auction sales, and retirement of auction items. Proceeds from auctions in FY25 totaled $1M. This position also supports job duties relating to other tasks within the finance team.

In this position you will be responsible for assuring accurate, coordinated, and timely communication with the Central Office Procurement, District Procurement, Divisions of Facilities, Equipment, Real Estate, and the Auditor of State to help facilitate the addition, retirement, and maintenance of Fixed Assets along with communicating auction details to districts and IDOA. Additionally you will create and maintan procedures for daily tasks performed.

Salary:

This position traditionally starts at an annual salary of $37,648.00. Salary for this position may be commensurate with education and job experience.

Location:

This position is located in INDOT's Central Office, Indianapolis.

A Day in the Life:

The essential functions of this role are as follows:
  • Coordinates statewide inventory, including completion of central office inventory.
  • Serves as the disposition agent for INDOT and coordinates surplus pickups for central office.
  • Creates 13812 disposal forms for central office, receives all 13812 forms, and obtains appropriate approvals from IDOA.
  • Communicates all auction details to districts and handles administration and reconciliation for all auctions to include sales and retirement of auction items.
  • Communicates auction spreadsheets and 13812 forms to IDOA.
  • Enters PeopleSoft conversations and attaches documents to ensure accurate record keeping.
  • Submits disposal requests to finance.
  • Distributes asset tags to districts and asset tags for central office purchases.
  • Makes updates to PeopleSoft AM to reflect changes regarding new custodian, new division, etc.
  • Verifies all plated equipment is retired and all inspection forms have been completed.
  • Support job duties relating to other tasks within the finance team including being the primary backup to the cashier

What You'll Need for Success:

The ideal candidate in this role should minimally have
  • High school diploma or equivalent
  • General knowledge of the basic principles and practices of administrative management.
  • Experience with PeopleSoft Financials and Asset Management module preferred.
  • Experience working independently and as part of a team with a focus on innovation and creativity.
  • Ability to effectively communicate, both orally and in writing.
  • General knowledge of agency organization, function, and purpose.
  • Ability to develop and write procedures to train others on specific tasks.
  • General knowledge of the basic principles and practices of administrative management.
  • Ability to establish cooperative work relationships with a variety of stakeholders.
Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
