About the Position: We are seeking an Administrative Assistant with a broad range of duties providing administrative support within the Clinical Development department, Cardiac department, and general support to the overall company as needed. This is a remote position and has a great opportunity for growth and learning within a small biotech company.
Essential Job Duties and Functions: - Provide comprehensive administrative support to the Clinical Development and Cardiac teams.
- Manage general administrative tasks including coordinating with vendors, processing purchase orders (POs), and submitting contracts.
- Offer calendar management and travel coordination for multiple Vice Presidents and senior leaders across departments.
- Participate in special projects and ad hoc initiatives as assigned.
- Collaborate extensively with internal teams and external partners while handling sensitive and confidential information with discretion.
- Ensure high-quality interactions and maintain clear, consistent communication across all levels of the organization.
- Foster trust and credibility while supporting remote and on-site employees across various departments.
- Continuously evaluate and improve administrative processes to enhance efficiency and quality of outcomes.
- Draft, edit, and format routine correspondence, reports, and other documents.
- Track and follow up on key assignments to ensure timely execution and resource alignment.
- Uphold strict confidentiality in all clinical and executive matters.
- Adhere to all company policies, procedures, and compliance standards.
- Perform additional duties as directed by the manager.
Required Education, Experience and Skills: - Education: Bachelor's degree required.
- Experience: 3-5 years of administrative experience, preferably in a fast-paced, dynamic environment.
- Industry Knowledge: Experience in the biotechnology or pharmaceutical industry is a plus.
- Systems Proficiency: Familiarity with procurement and contract management systems such as Coupa or Sirion is a plus.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and database management tools.
- Organizational Skills: Exceptional attention to detail with strong organizational and time management abilities; capable of managing multiple priorities under tight deadlines.
- Professional Traits: Self-motivated, proactive, and adaptable with a positive, team-oriented attitude
Salary range: $65,000-$85,000, title and salary commensurate with experience
