About the Role The Administrative Assistant, reporting to the Chief Financial Officer, provides comprehensive administrative support to the Chief Financial Officer and the Chief Executive Officer. This role is ideal for someone who is highly organized, detail-oriented, and capable of handling a wide variety of administrative tasks in a fast-paced environment. The position is conveniently based in Boston's Faneuil Hall Marketplace and offers the flexibility to work remotely up to 50% of the time.
Main Responsibilities Administrative Support:
- Assist with scheduling, calendar management, and organizing meetings.
- Prepare presentations, meeting agendas, and materials for executive meetings.
- Coordinate and facilitate the routing of contracts for review and signature.
- Manage confidential information with discretion.
- Serve as executive's liaison to staff and external contacts.
- Ensure timely and efficient follow-up on action items.
Office Coordination:
- Oversee the organization and maintenance of office space, ensuring a clean and efficient work environment.
- Route incoming mail to the intended recipients.
- Coordinate with vendors, service providers, and building management as needed.
Requirements
- Bachelor's degree in business administration, communications, or a related field.
- Proven experience as an administrative assistant.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational, problem-solving, and multitasking abilities.
- Ability to work independently and be a team player.
- Discretion and confidentiality are essential.
- High level of integrity and professionalism.
- Strong interpersonal skills with a proactive approach.
- Detail-oriented with a focus on accuracy and quality.
- Adaptable, flexible, and able to work in a fast-paced environment.
