What this job involves -

This role is pivotal in ensuring smooth daily operations and enhancing the overall workplace experience for employees and visitors. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently.

Your day to day:

Responsibilities
  • Administrative Support - Project Management - Proactively coordinate project-related issues by assignment, demonstrate proficiency in the use and application of all project management technology as required for assigned projects, and complete any and all other duties and tasks assigned
  • Provide key support to Global Workplace Experience Sr. Director and Sr. Ops Program Manager, allowing them to focus on strategic decision-making and project direction
  • Play a critical role in streamlining operations and fostering coordination among all parties involved
  • Attend project meetings and ensure timely information flow, resulting in improved collaboration and reduced miscommunication
  • Understand stakeholder needs and expectations, resolving changes in scope of work, and maintaining positive relationships throughout the project lifecycle, ensuring stakeholder satisfaction
  • Ability to monitor project risks and respond effectively
  • Maintain comprehensive project documentation. Including minutes, trackers, and reports, ensuring transparent communication and aiding in decision-making
  • Maintain databases as it relates to our global Workplace operations
  • Maintain site pages and knowledge centers with LumApps, Google Workspace, Airtable, ServiceNow
  • Prepare team messaging, stakeholder communications, and other email distributions
  • Create and edit presentations, pitches, and deliverables
  • Assist and participate in planning as needed for team functions and offsite events
  • Assist in collecting and processing paperwork as it relates to workplace operations
  • General duties such as printing, scheduling meetings, expense reports, welcoming visitors, conference room set up, tech support, and making travel arrangements

  • Proven experience in an administrative role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace (productivity and collaboration tools).
  • Ability to work independently and as part of a team
