Position Overview
Adina Reyter is seeking a detail-oriented and highly organized Wholesale Operations Specialist to support our global wholesale business. This role is responsible for managing the full wholesale order lifecycle-from order entry through invoicing-ensuring seamless coordination across internal teams and external partners.
The ideal candidate will have strong experience in wholesale operations, ideally within the jewelry, fashion, or luxury goods industries, and possess excellent analytical, communication, and problem-solving skills.
Key Responsibilities
- Manage the end-to-end wholesale order process, ensuring accuracy and efficiency from initial upload to invoicing.
- Serve as the primary liaison between the Wholesale Sales and Logistics teams, ensuring timely fulfillment and proactively mitigating any risks of delay.
- Collaborate with Wholesale Sales to align operational strategies, support regional sales goals, and contribute to financial forecasting.
- Oversee EDI order uploads, verify data accuracy, and reconcile discrepancies related to seasonal buys, pricing, and deliveries.
- Identify and analyze potential fulfillment issues, making proactive adjustments in coordination with the 3PL team.
- Maintain and update shipping reports to support Operations and Sales timelines.
- Coordinate order releases based on delivery windows, priority levels, and inventory availability.
- Manage wholesale returns and customer account maintenance in partnership with Accounts Receivable.
- Investigate chargeback claims and work closely with Finance and Retail partners to resolve them and minimize risk.
- Monitor service levels with Third-Party Logistics providers to ensure smooth and timely wholesale shipments.
- Deliver excellent customer service while upholding standards for accuracy, quality, and efficiency.
Qualifications & Experience
- Bachelor's degree in Business Administration, Supply Chain, or related field preferred.
- 3+ years of experience in wholesale operations, customer service, or supply chain management-experience in jewelry, fashion, or luxury goods is strongly preferred.
- Proficient in Microsoft Excel (intermediate to advanced level), including data analysis, pivot tables, and reporting.
- Experience with ERP systems (Microsoft D365 preferred), JOOR, and NuOrder is a plus.
- Experience with QuickBooks and NetSuite.
- Familiarity with EDI processes and wholesale order management systems.
- Experience with domestic and international shipping and freight management.
- Skilled in handling shipping claims, customs compliance, and freight-related issues.
- Strong understanding of international logistics, customs documentation, and dispute resolution.
- Exceptional organizational skills and attention to detail; able to multitask in a fast-paced environment.
- Strong written and verbal communication skills with a customer-first mindset.
- Proven ability to work cross-functionally and build strong internal and external relationships.
- High level of professionalism, accountability, and initiative.
- Must be available to work on-site at our Los Angeles, CA (Sherman Oaks) office.
Additional Information:
The base salary range for this position is $60,000 to $75,000. The actual salary offer may vary based on work experience. The base pay range is subject to change and may be modified in the future.
