Position Summary:

The Wholesale Compliance & Fulfillment Manager oversees and directs the operations process related to the fulfillment of Wholesale orders. Operational scope includes customer compliance to ensure excellent service to mitigate chargeback and deductions. The Wholesale Fulfillment Manager & Compliance will manage a team that is responsible for customer order compliance, timeliness of order fulfillment, materials management related to supplies, inventory labeling/pre-ticketing, packing and documentation; shipment preparation; domestic and international freight coordination; delivery verification; vendor and client correspondence.


Essential Job Duties and Responsibilities: (Additional duties may be assigned)


Coordination and Facilitation:

Proactively manage the fulfillment of customer orders shipments to ensure orders arrive on time.

Manage the coordination of transportation schedules in customer portals to optimize delivery timelines and reduce costs

Ensure Advanced Shipping Notices (ASN) are submitted accurately and timely to mitigate charge back and deductions

Ensure proper packing/processing for fragile high-valued shipments to avoid damages


Analysis:

Analyze data from logistics and inventory systems to track performance and identify trends

Identify which orders need immediate attention to optimize fulfillment timeliness

Identify trends regarding delayed orders and develop action plans to improve upon.

Manage/review forecasted orders to ensure adequate inventory and staffing levels to properly fulfill customer orders on time

Evaluate processing times to identify areas for order fulfillment timeliness

Ensure all orders meet vendor-specific compliance and service standards


Vendor Management and Compliance Responsibilities:

Establish and maintain strong relationships with vendors and customers to ensure operational excellence.

Works independently, and collaboratively with the Sales team, to deliver the best customer experience to all of our retail partners through effective execution and communication.

Review onboarding new customers routing guides to ensure operational compliance

Develop and implement vendor compliance programs, including quality control, safety and operational standards

Coordinate with internal departments to ensure vendor services align with operational requirements

Communicate compliance expectations and requirements to vendors, ensuring alignment with company standards

Address any non-compliance issues, working with vendors to implement corrective actions promptly

Review routing guides regularly and communicate to operations any changes that may impact vendor operations and compliance requirements


Development:

Develop and refine standard operating procedures to enhance efficiency and accuracy in logistics and fulfillment

Implement and optimize software and reporting tools to track shipments, inventory, and performance metrics

Oversee the selection and management of packaging, equipment, and supplies to support smooth operations

Improve layout, workflow, and processes to maximize space and efficiency

Establish benchmarks for productivity, accuracy, and shipping performance to mitigate charge back and deductions.

Responsible for enhancing the culture and operational excellence through effective coaching, training, mentoring and holding the teams accountable for their conduct, actions and performance.


Additional:

Ensuring compliance with all safety policies and procedures in daily operations

Supporting other departments as needed to facilitate overall company operations

Demonstrating accountability, including decision-making and process improvements


Supervisory Responsibilities:

This position has direct supervision over the Wholesale Picking Associates, Packing Associates, and Wholesale Accounts Assistant Managers. Responsibilities include recruiting, interviewing and hiring; instructing and training in work methods; scheduling, checking, assigning and approving work; conducting performance evaluations, associate development, organizational chart enhancements and making recommendations regarding unsatisfactory employees.


Education and Experience:

Bachelor's degree in a relevant field preferred

Three to five years of supervisory or management experience in retail, wholesale or e-commerce required

Three to five years of experience in distribution & wholesale fulfillment preferred

Proficient with Net Suite software and reporting preferred

Experienced with drop shipping fulfilment

Compliance and fulfillment experience with customers compliance such as QVC, Dillard's, Neiman Marcus, Macys, Wayfair required.


Special Requirements:

Driver's License

Ability to work overtime on a regular basis and weekends

Ability to work in an open, warehouse environment

Computer proficiency including word processing, data entry, spreadsheets, and generating reports using standard software applications

Must be able to plan, allocate resources, manage production and coordinate people and equipment

Strong organizational skills including the ability to manage multiple projects and details simultaneously

Ability to gather data, compile information, and prepare reports

Ability to work independently, investigate problems, initiate solutions, work under deadline constraints, and manage multiple tasks

Ability to read and interpret paperwork

Knowledge of inventory management practices

Excellence in interpersonal communication skills to interact with customers, vendors and co-workers in a professional and helpful manner in person or via phone or written correspondence

Demonstrates success in developing, incorporating, maintaining and improving compliance standards, processes and protocols

Equipment Used:

Computer, printer, telephone, photocopier, fax machine, scanner, calculator, various hand and power tools, foam-in-place equipment, pallet wrapping and banding machines and pallet jack

Computer Software: Microsoft Outlook, Word, Excel, Internet Browsers, EDI, TMS, Backoffice, and other proprietary software


Physical and Mental Requirements:

Ability to sit, stand, walk, talk, hear, perform repetitive hand motions, use hands to finger, grasp, handle, or feel; push and/or pull with arms and reach with arms and/or hands; crouch, kneel, crawl or bend; climb/balance.

Exerts in excess of 50 pounds of force occasionally, and/or in excess of 25 pounds of force frequently, and/or in excess of 10 pounds of force constantly to move objects.

Close mental and visual attention required to perform work dealing primarily with preparing, analyzing, and interpreting data and figures, using a computer terminal, and/or extensive reading.


Environmental Conditions:

Work is performed in a typical warehouse with exposure to temperature changes, noise, potential for physical injury.
