JOB SUMMARY

The Administrative Coordinator will assist the Director of Patient Care Services in coordinating the interdisciplinary operations. Serves as key liaison for referral sources, vendors and contracted services. Ensures adequate supply of medical and other supplies while monitoring costs and charges for appropriateness. Ensures medical records meet agency and regulatory requirements. Ensuring facility cleanliness and efficient operations. Performs other duties as assigned.

PRIMARY JOB DUTIES

1. Coordinates facility maintenance to ensure compliance with applicable regulations. Maintains integrity of all Preventative Maintenance books. 2. Ensures timely staff schedules and/or maintains attendance records. 3. Maintains adequate levels of medical, office and other supplies to ensure operational efficiencies in a cost-effective manner; code/ process accounts payable invoices in a timely manner. 4. Ensures proper maintenance of medical records including medical chart audits. 5. Assigning staff duties and maintaining daily logs to meet regulatory requirements. 6. Assists clinical staff by screening triage calls and contacting on call staff. 7. Prepares facility for special events and meetings. 8. Review ADP for accuracy and submit payroll on a biweekly basis. 9. Develop clinical on-call schedules for outpatient staff. (BCC/WCC only) Organizes and performs work effectively and efficiently. 10. Organizes and performs work effectively and efficiently. 11. Maintains and adjusts schedule to enhance team performance. 12. Demonstrates positive interpersonal relations in dealing with all members of the team. 13. Maintains and promotes customer satisfaction. 14. Effectively demonstrates the mission, vision, and values of Lower Cape Fear LifeCare on a daily basis.

JOB SPECIFICATIONS

1. Education: High school diploma or an equivalent. Associate's degree or equivalent preferred.

2. Licensure / Certifications: Not Applicable.

3. Experience: Minimum of one year medical record, medical office or hospice experience required.

4. Essential Technical / Motor Skills: Must be able to read and interpret technical and financial report/documents. Verbal, written and computer skills necessary to communicate with internal and external customers. Must be literate in English language.

5. Interpersonal Skills: Ability to develop positive interactions with patients, visitors, physicians, staff, vendors and other external customers to effectively care for patients and manage the operations of the facility.

6. Essential Physical Requirements: Sitting for desk work and meetings, writing, walking and standing, driving an automobile and climbing stairs.

7. Essential Mental Abilities: Must be able to read and understand directions, policies, procedures, etc.

8. Essential Sensory Requirements: Ability to use sight to perform clerical duties. Ability to use hearing to communicate with staff and patients.

9. Exposure to Hazards: May encounter exposure to infectious disease or situations which present a potential threat to personal safety.

10. Other - Hours of Work: 40 hours per week, flexibility to meet the needs of the department. Occasional evening and weekend hours. Overtime only as approved.

11. Population Served: All patient populations from infants through geriatric with life limiting illness.
