Summary The
Warranty Administrator will manage and optimize our dealership's warranty claim processes, ensuring compliance, accuracy, and maximum reimbursement from OEMs.
Duties and Responsibilities - Accurately process and submit manufacturer warranty claims, ensuring full compliance with OEM policies and timelines.
- Audit repair orders for proper documentation, labor ops, technician notes, and time stamps to reduce claim denials and chargebacks.
- Reconciles all warranty receivables with payments through the appropriate accounting schedule.
- Act as the primary point of contact for all manufacturer warranty matters, including audits, inquiries, goodwill requests, and program submissions.
- Collaborate with service advisors, technicians, and parts personnel to ensure warranty documentation is complete, consistent, and audit-ready.
- Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed.
- Arranges for parts to be shipped to the factory or distributor, or to be scrapped.
- Monitor and manage warranty receivables, aging reports, and claim status to ensure timely reimbursement and minimize outstanding balances.
Qualifications: Qualifications
- 2+ years of automotive warranty administration experience in a dealership setting.
- Strong knowledge of OEM warranty policies and procedures, with the ability to audit and submit claims accurately and independently.
- Proficiency in dealership management systems (DMS) such as CDK, Reynolds & Reynolds, or similar platforms.
- Exceptional attention to detail and documentation review skills to ensure clean, compliant repair orders and minimize chargebacks.
- Effective communication and collaboration skills, with the ability to work closely with service, parts, and manufacturer contacts.
Preferred Qualifications: - Prior experience with Audi warranty systems and programs, including familiarity with Audi Warranty Policies & Procedures Manual.
- Experience navigating warranty audits and resolving denied or underpaid claims.
- Working knowledge of parts return processes and core tracking for warranty-related parts.
Additional Information
Compensation (Hourly): - $28.00 - $30.00 / hour
- Depending on experience and qualifications
Schedule: - FULL TIME
- Hybrid work schedule
- Candidates must be based in Houston , as the role requires on-site presence during the initial training period and until proficiency in the position is achieved
- 5 days a week / 2 days off
