Overview

The Volunteer Programs Coordinator plays a key administrative and logistical role on the Volunteer Programs Team, managing volunteer data and scheduling systems and supporting all stages of the volunteer recruitment cycle. In addition, the coordinator serves as a primary point of contact for volunteers and members of the public, responding to inquiries via email, phone, and in person in a timely, supportive, and professional manner that reflects the values of our organization. This individual thrives in a fast-paced environment, works independently with minimal oversight, collaborates effectively with others, and demonstrates strong communication skills and attention to detail.

Duties and Responsibilities
  • Provide excellent customer service while representing Volunteer Programs as the primary point of contact for the team in a prompt and professional manner.
  • Support volunteer onboarding, registration, training, and scheduling including reminders, confirmations, and follow-ups.
  • Monitor shift coverage based on department volunteer needs and requests.
  • Collaborate on volunteer communications tools, including newsletters and online announcements.
  • Keep volunteer records up to date, including accounts, waivers, service hours and ensure all information is accurate across systems.
  • Prepare monthly metrics and reports, reconcile volunteer-related financials, and handle logistics including name badges, access keys, and system permissions.
  • Assist with planning volunteer events and appreciations.
  • Coordinate donation needs for the public with the Animal Care and Enrichment Team and maintain donation systems.
  • Verify service hours for volunteers, including those contributing through at-home craft projects.
  • Assess priorities and escalate issues to ensure smooth program operations.
  • Other job duties may be assigned as needed.
Requirements
  • Experience in a fast-paced, detail-heavy administrative role, ideally supporting multiple stakeholders.
  • Outstanding interpersonal and relationship building skills (with internal and external audiences), including excellent written and verbal communication skills.
  • Proven track record of completing projects with accuracy and minimal supervision.
  • Exceptional customer service and organizational skills; ability to prioritize, multitask, and follow through with a high volume of responsibilities.
  • Strong collaborative instincts, with a demonstrated ability to support others and build trust across teams.
  • Strong computer skills (Microsoft Excel, Outlook, Google Suite); familiarity with multiple digital platforms.

Work Days and Hours

This is a 100% onsite, full-time, 40-hour-per-week position, Monday through Friday, with occasional weekend shifts as needed.
