Employment Type: Part-Time ( 1,070 hours/year) Schedule: April-October M-F, 9 a.m.-2 p.m. - November-March W-Th, 8-hour days

Hourly Rate: $20.50

DUBUQUE ARBORETUM & BOTANICAL GARDENS (DABG):

(DABG) is a community-driven, volunteer-led organization dedicated to creating a welcoming space where nature and people connect. We are currently seeking a passionate and organized Volunteer & Intern Coordinator to support and grow our volunteer and intern programs.

POSITION SUMMARY:

The Volunteer & Intern Coordinator plays a vital role in recruiting, onboarding, training, and supporting volunteers and interns. This individual must be an energetic self-starter, team player, effective communicator, and skilled multitasker. Leadership experience and a commitment to community engagement are essential.

Key Responsibilities

Volunteer & Intern Management
  • Maintain and manage the volunteer database (Bloomerang Volunteer)
  • Recruit, screen, interview, and onboard new volunteers and interns
  • Organize annual clean-up days (two in April, two in October)
  • Coordinate volunteer schedules and assignments
  • Attend Building & Grounds Meetings, provide agenda, minutes, etc.
  • Communicate regularly with volunteers to ensure engagement, support, and fit
  • Maintain volunteer documentation, including job descriptions and a Volunteer/Intern Handbook
  • Plan volunteer and intern appreciation events in partnership with the appropriate staff
  • Lead volunteer training programs and assign mentors/leads as appropriate
  • Coordinate with marketing to share volunteer needs, highlights, and success stories
Community Outreach & Partnerships
  • Develop, maintain relationships, and schedule support opportunities with local organizations and institutions (e.g., Target, John Deere, Days of Caring, local schools and colleges)
  • Attend volunteer/internship fairs and events to promote opportunities
  • Oversee intern outreach and coordination with the high schools and colleges
Administrative & Office Support
  • Assist in budget planning and supply ordering
  • Keep the Volunteer Portal and other volunteer pages on the website current
  • Ensure volunteer supplies and materials are stocked for the buildings and the grounds
  • Proof, order, and distribute necessary signage
  • Keep accurate adoption map records of the grounds
  • Assisting the gift shop
  • Provide and schedule tours
  • Respond to and process online volunteer/intern submissions
  • Get volunteer/intern support with special events, projects, and seasonal activities
  • Keep all volunteer policies up to date in collaboration with the appropriate staff
  • Conduct year-end surveys and make improvements based on feedback
  • Other duties as assigned
Qualifications & Skills

Required:
  • High school diploma (Associate or Bachelor's degree in business or related field preferred)
  • Experience working with volunteers and/or interns
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams, Forms, etc.)
  • Ability to motivate and communicate effectively with diverse groups
  • Comfortable using office equipment, credit card machines, and cash registers
  • Holds a friendly, professional, confidential demeanor and excellent customer service skills
  • A strong leadership or supervisory experience
  • Knowledge of gardening and grounds related work a plus
Working Conditions
  • Combination of indoor and outdoor work
  • Must be able to lift 30 lbs, drive a golf cart, or utility vehicle
  • Occasional weekends required (4) community volunteer days
  • Prolonged periods of sitting, walking, bending, or reaching
  • Listed as a contact person for volunteer questions on the weekend

About the Company

The Dubuque Arboretum and Botanical Gardens (DABG) were established in 1980 and comprise 56 acres. Admission is free and the grounds are open year-round from 7 a.m. to dusk, welcoming around 83,000 visitors from all over the world each year. DABG was created and is maintained mainly by volunteers and staff members. We have around 300 volunteers who help in our gift shop, office, gardens, maintenance, planning, and operations. DABG is a popular spot in the community for outdoor weddings, concerts, and special events. DABG includes the following gardens: Herbs, Hostas, Roses, Annuals and Perennials, Cacti, Prairie, Wildflowers, Hydrangeas, Children's Gardens, Garden of Eat'n, Japanese Garden and Koi Pond, Formal English Garden, Deciduous and Conifer Collections.
