Schedule Details/Additional Information:

The schedule is Monday thru Friday 830am-5pm

Major Responsibilities:
Manage all aspects of volunteer recruitment, training, retention, recognition and corrective action.
7)Write volunteer hours verification and recommendation letters.

8)Promote the hospital volunteer program by advertising volunteer opportunities online and attending recruitment events.

6)Identify, address and follow up on volunteer performance issues by investigating and conducting crucial conversations and coaching meetings. Recommend and manage volunteer transitions.

1)Interview, select and match volunteers with assignments based on assignment requirements, candidate qualifications and skills, preferences and hospital priority needs.

2)Manage all steps of the onboarding process that include new volunteer orientation, medical screening, background checks and coordination of a volunteer first day details.

3)Plan and conduct in-service meetings and retraining programs for active volunteers.

4)Assist in the development and implementation of recognition events and moments that boost volunteer morale including thank you notes, volunteer week celebrations, annual recognition event and others.

5)Assist in conducting volunteer engagement surveys.

Establish, plan, develop and maintain services to support and enrich the experiences of hospital patients, visitors and staff.
1)Respond to volunteer service requests from clinical and non-clinical areas throughout the hospital and assist in establishing new programs and projects utilizing volunteer resources that support the goals and objectives of the hospital and its patients.

2)Identify new volunteer assignment opportunities based on the findings of patient satisfaction, associate engagement surveys and industry best practices.

3)Guide the implementation of volunteer programs in new departments. This includes the development of volunteer assignment descriptions following the established template and approval process to ensure compliance with Infection Prevention, Risk Management and Human Resources guidelines.

4)Train new user departments on providing effective leadership for a successful and effective volunteer program.

5)Evaluate current volunteer assignments to ensure their accuracy and review/revise if needed.

Establish a collaborative work environment with internal customers to reach hospital goals and initiatives.
1)Conduct bi-weekly rounds and scheduled formal quarterly rounding meetings with representatives of departments supported by volunteers.

2)Advise on identifying opportunities and assist in developing initiatives to support volunteer recognition, training, retention and engagement.

3)Advise and partner on addressing volunteer performance concerns.

4)Communicate Volunteer Engagement Survey results and assist in developing strategies to address improvement opportunities.

5)Assist in the execution of annual volunteer evaluations and provide follow up reports.

6)Assist in effective communication with volunteers by creating/editing and distributing newsletters and other forms of communication.

7)Participate on multidisciplinary committees as requested.

8)Plan and execute initiatives that promote volunteer services (presentations, articles etc.)

Supervise the daily operations of Volunteer Services managed areas to assure consistency with Advocate's mission, values and philosophy.
2)Conduct daily rounds to areas directly supervised by Volunteer Services to address volunteer concerns, evaluate volunteer performance, recognize volunteer efforts and ensure adherence to Advocate standards of providing safety, quality and the best service to all customers.

1)Schedule volunteers for Volunteer Services managed areas to ensure proper coverage.

3)Provide coverage for those areas in the absence of volunteers when needed.

4)Develop the performance and competency standards and service guidelines for volunteers in those areas.

5)Respond to and address issues and concerns regarding the accuracy and quality of services provided by volunteers in areas to ensure adherence to the Advocate Behaviors of Excellence.

6)Partner with all stakeholders of these areas/assignments to ensure their satisfaction with services.

7)Identify opportunities for improvement, develop and execute plans to address them.

8)When needed, provide coverage for manager that includes huddle reporting, issues troubleshooting and others.

9)Maintain and order uniform and supplies inventory.

Collaborate with community agencies to develop partnerships that meet the service needs of agencies and its clients, as well as the hospital and its stakeholders.
1)Partner with area schools and organizations to create educational or vocational development opportunities for their students or clients.

2)Identify meaningful and appropriate volunteer opportunities for special needs individuals.

3)Assess and place individuals required to satisfy court-ordered community service hours.

4)Provide opportunities and tours to familiarize representatives of local organizations with available volunteer opportunities.

5)Participate in networking opportunities by represent the Volunteer Services department at local events and volunteer coordinator meetings.

6)Provide agencies with reports tracking volunteer service provided by its clients.

Maintain volunteer records, reports, and forms.
2)Create and maintain policies and procedures guiding operational activities.

1)Maintain up-to-date and accurate volunteer records pertaining to interviews, schedules, requirements compliance, performance notes and service hours utilizing volunteer services software.

3)Develop and maintain appropriate records and reports to monitor and quantify volunteer impact.

4)Review current forms and develop new forms as appropriate.

Education/Experience Required:
- Bachelor's Degree in Education, Social Work, Management, Liberal Arts, Psychology; or equivalent combination of education and experience - 3-5 years of relevant experience

Knowledge, Skills & Abilities Required:
- Excellent communication and presentation skills - Strong organizational, motivational, problem solving, and supervisory skills - Good skills in working with large numbers of people - Good training skills - Basic PC skills

Pay Range
$23.65 - $35.50
