Job Summary The Activities and Volunteer coordinator assists in arranging activities and volunteers for all program sites operated by the YWCA of Rochester and Monroe County. This position is responsible for maintaining activities and volunteers for activities.
- This position will recruit and evaluate applicants through the volunteer portal to grow the volunteer base by 80% in each successive 6-month period. This will be achieved by attending identified community events, managing relationships with local organizations, and continuing pathways with schools and universities.
- This position will communicate with program leaders to address the needs of each program and assist with finding volunteers to complete the projects. This position will assist with the supervision and documentation after placement of volunteers/work study students/interns for all YWCA programs.
- Coordinates, places, and oversees work-study students and interns during placement at the YWCA.
- Identify local community organizations, groups/volunteers/work study groups to fulfill life skill programs that include, but not limited to financial literacy, employment skills, hygiene, health and safety, mental wellness, educational planning, tenant's rights, first aid, relationship building, as well as holiday gatherings, grocery shopping and other activities identified by Residential case managers and lead staff working with residents.
- This position is responsible for updating and maintaining the Volunteer and Activities schedules, as well as creating the promotional flyers for each activity, and coordinating volunteer/community organization placement as needed for each activity.
- Maintain accurate, complete record keeping, systems and reports. Maintain data of the number of clients served contacts of volunteers or agencies.
- Work in collaboration, with Development, Community Engagement and Program/Property managers, to ensure communication and encourage participation of the tenants.
- Seek input and ideas from program participants and use feedback to improve systems and practices.
- Update the YWCA dashboard quarterly.
- Assist with developing and managing budgets, contribute to the development of work plans and strategic plans.
- This position will demonstrate strong communication skills with YWCA leadership, Development, Community Organizations, YWCA staff, and residents at the YWCA housing locations.
- Attend monthly community meetings, YWCA and Program trainings and conferences required by the funders and YWCA. Assist with developing and implementing policies and procedures.
- This position will coordinate with Development staff to streamline the application process of potential volunteers, assess their capabilities implement and maintain volunteer policies and procedures, involve clients where appropriate. The Volunteer process will require data management in Bloomerang.
- This position will conduct volunteer orientation. Ensure volunteer training plan in conjunction with staff supervisor for each volunteer position.
- This position will also share the responsibilities for conducting tours of the YWCA facilities as required/assigned. Tours will require an understanding and knowledge of demographic, basic statistics, criteria and goals of all YWCA programs.
- This position works in tandem coordinating with the Adopt-A-Family committee and the Community Engagement team to complete assigned tasks (per committee), facilitate donor drop off and data entry through Bloomerang and Roonga systems, and distribution of gifts within the framework created by the AAF committee in conjunction with Housing case managers.
- Perform other duties as requested to ensure support, teamwork, and quality of programs.
RELEVANT BACKGROUNDExperience and Education Qualifications - Associate's degree in a Human Service-related field.
- Two (2) to three (3) years' experience working as an Activities or Volunteers coordinator or similar role.
- Minimum of 2 years' experience working with mentally ill, Substance use, Domestic Violence populations.

Additional Requirements - Must possess a valid NYSDL and have access to a reliable vehicle.
WORK ENVIRONMENT Usual social services office working conditions prevail. Must be available to work 37.5 hours per week and the work hours may include evenings or weekends.
