The Visual Arts Department Assistant Coordinator will serve as a key liaison for the exhibitions department, collaborating across Wex departments, as well as campus and external partners, ensuring efficient and effective operation of the exhibitions program. This position will manage vital administrative and fiscal functions and assist on project management for exhibition-related programmatic activities.
The ideal candidate for this position will have strong communication and organizational skills, work well in a team environment, possess knowledgeable administrative and budget management acumen, and have a keen eye for detail required for the oversight of departmental administration. The Visual Arts Department Assistant Coordinator will support the Head of Visual Arts Department, the Director of Exhibition Planning and Services, and the Visual Arts Department team on project management of exhibitions and gallery installations, including coordinating project meetings, guest travel, hospitality, and supporting cross-departmental collaboration in exhibition planning. The position requires a generous, thoughtful, and clear communicator with a strong attention to detail, an ability to organize and manage multiple projects, and a desire to work collaboratively while contributing to an innovative and kind team culture. This position will also provide travel and fiscal administrative support to the Head of Visual Arts Department.
Reporting to the Director of Exhibition Planning and Services, this position will also work closely with Head of Visual Arts Department, the Curator of Exhibitions, the Senior Registrar, Design and Production Manager, Exhibition Technician, Associate Preparators, Associate Registrar, Associate Curators, Curatorial Associate, Archivist, and other museum staff as required; and artists and external partners to ensure a robust exhibition program. The position must attend weekly exhibitions and project-based meetings and assist in maintaining gallery spaces.
Desired Experience and Skills:
- Experience in a gallery, museum or arts foundation setting; familiarity with best practices for museum management.
- Excellent organizational skills, communication and interpersonal skills, and an exceptional attention to detail.
- Experience with budgets, financial statements and/or bookkeeping.
- Project management experience; knowledge of image licensing, artist rights, and copyright laws and codes of ethics.
- Interest in contemporary art.
- Commitment to representing the museum with a high degree of integrity and professionalism, maintaining productive and respectful dialogue with staff and community.
- Proficiency with MS Office Suite, Teams and SharePoint, financial software, and familiarity with basic web maintenance tools.
Required Experience
- Bachelor's degree or equivalent experience. 0 years of relevant experience required. 0-2 years of relevant experience preferred.
Full-time schedule is 40 hours per week, and occasional events, early mornings, evenings, weekends, and possible holidays as required.
