Bilingual Candidates Encouraged to Apply EOE M/F/D/V Union/Non-UnionJob Summary: The Vice President of Facilities Administration will provide leadership for Operations Maintenance, Facilities Construction, Buildings and Properties, Environmental Services areas and overall safety and security within Facilities Administration. This position ensures that all offices, residences, and care facilities are maintained in an operationally effective and efficient manner to not only support Gándara Center's properties, buildings, and grounds but also do so by current federal, state, and local standards, guidelines, and regulations. The Vice President will be entrusted to contribute to our organization's mission of culturally sensitive care with the creation and implementation of new ideas and concepts to improve our locations.
Duties and Responsibilities - Lead lease negotiations and renewals, ensuring favorable terms and compliance with organizational goals.
- Maintain accurate records of all lease agreements and oversee timely execution and renewal processes.
- Develop and execute comprehensive plans for the successful launch of new programs or services, including site readiness, staffing, equipment, and compliance alignment.
- Coordinate cross-functional teams to meet start-up deadlines and operational benchmarks.
- Identify and evaluate potential properties/sites for acquisition based on strategic needs.
- Develop and implement long-range capital budget plans for facility improvements, equipment purchases, and infrastructure upgrades.
- Monitor budget performance and adjust projections by organizational changes or fiscal constraints.
- Source, evaluate, and manage vendor relationships for services such as maintenance, construction, landscaping, and custodial.
- Negotiate contracts and ensure vendor compliance with service level agreements and safety standards.
- Collaborate with finance teams to align facility operations with broader organizational financial goals.
- Implement quality improvement initiatives to enhance operational efficiency and service delivery.
- Establish and monitor key performance indicators (KPIs) and use data-driven insights to improve outcomes.
- Schedule and oversee regular inspections and maintenance activities.
- Develop and enforce safety protocols and emergency response plans across all agency properties.
- Conduct regular safety audits and collaborate with security personnel to maintain a secure environment.
- Stay current with local, state, and federal regulations related to property management and ensure all facilities meet compliance standards.
- Serve as the main liaison to third-party property management companies, ensuring adherence to contracts and service expectations.
- Oversee the maintenance, scheduling, and operational use of agency vehicles to ensure cost-effectiveness and regulatory compliance.
- Ensure facilities and operations comply with licensing requirements, conducting internal audits, and leading corrective actions when necessary.
- Provide leadership and direction to facility personnel, including training, coaching, and performance management.
- Develop professional development opportunities to build staff capacity and technical expertise.
- Supervise daily and long-term maintenance activities, ensuring timely response to work orders and facility upkeep.
- Manage maintenance teams and contractors to maintain high standards of building operations.
Minimum Qualifications- Bachelor's degree or relevant combination of education and experience,
- Senior Level role; minimum 10 years' relevant management experience;
- Accreditation experience; knowledge of all mechanical systems; experience with civil, State, and federal guidelines.
- Certifications, registrations, or relevant licensure are welcome.
