Essential Job Duties
The Executive Assistant will coordinates the flow of information throughout the office, making sure that personnel within units are adequately informed about matters that come to the office. The Executive Assistant will also do the following:
- Receive verbal and/or written instructions and determine what must be accomplished and follows projects/tasks to completion; Follow up by informing department of action taken.
- Screen all requests and properly assesses the situation being presented which requires a thorough knowledge of the Facilities organization, and the University.
- Ability to prioritize and judge how and by whom situations should be handled. Work independently using sound judgment and analytical skills.
- Confidentially and sensitivity to issues, accuracy and attention to details are critical. Assist in logistics and planning of special events, conferences, workshops, luncheons/dinners.
- Provide administrative assistance in activities related to hiring of directors.
- Monitor emails to respond to immediate needs
- Compile agendas and attend monthly staff meetings; participate as a regular member of the group; prepares and distributes minutes and provides follow up on items as needed. Receives and logs all incoming mail for department, carefully review mail contents to determine date deadlines and how to direct mail within the office and the Division.
- Ensures correspondence continues to flow and that appropriate signatures are obtained in order to meet deadlines
