Position Overview:
Full-time administrative support position in the front office of the Upper School.
Essential Functions and Responsibilities:
- Answer the main phone line for the Upper School; transfer calls to the appropriate party, answer questions and take accurate messages; greet visitors, parents and students in a friendly, professional manner
- Administrative support work, including (but not limited to): word processing, data entry and photocopying
- Process Upper School front office and administrative mailings
- Provide back-up assistance to the Upper School office manager and attendance officer when necessary
- Order and maintain office supplies, postage and copy machines
- Process incoming and outgoing faculty and inter-campus mail and handle deliveries to the campus
- Maintain the Upper School calendar throughout the year; coordinate Upper School facilities use reservations, all divisional events, buildings and grounds projects, etc.
- Maintain emergency information and First Aid/CPR lists
- Support field trip logistics, including First Aid/CPR lists and equipment
- Tracking and disperse student medication
- Keep employment law posters and related notifications posted and current as directed by the Business Office
- Handle all paperwork associated with purchase orders and student account charges; work with the Business Office to ensure necessary data regarding student accounts is communicated accurately and promptly
- Support the financial aspects of building and office maintenance including ordering, budget and reporting of transactions
- Work closely with the school registrar; responsible for input of some classes, study halls and advisories
- Assist AP coordinator in coordinating schedules, testing supplies and testing administration
- Other duties as assigned
Required Experience:
Minimum Qualifications:
- Three years receptionist/administrative assistant experience
- Strong written and verbal communications skills
- Detail-oriented and thorough with strong organizational skills
- Strong interpersonal skills - ability to interact with visitors, students and parents in a friendly and professional manner.
- Excellent multi-tasking ability; ability to work with multiple and changing priorities
- Experience with Google Suite
- Ability to lift small packages (up to 5-10lbs)
- Ability to participate as a contributing member of the front office team
- Willingness to assist in other areas and with other tasks not defined in the position description
Pay Range:
- Full-time, 11-month position is $24-27/hour.
This salary range includes the expected annual salary for this position. In making a salary determination, we consider professional experience, applicable qualifications and other job-related factors. Based on these factors, a candidate's salary offer could exceed this range.
