Job Description Summary
The Administrative Coordinator provides high-level administrative support to the Directors of Business Operations, Parking and Transportation Services, and Finance and Support Services. This role manages complex calendars, coordinates meetings and communications, provides backup procurement and fiscal support, and supports department operations through effective organization and project coordination. Job Description

20%-Coordinate and maintain calendars, schedule meetings across departments, and ensure timely preparation of materials for each director. Draft, proofread, and distribute emails, memos, reports, and other communications on behalf of the directors. Support cross-functional projects within the division by tracking deadlines, compiling data, conducting initial analyses, coordinating logistics, and acting as a liaison between departments and external stakeholders.

20% - Serve as the primary custodian of all departmental policies and SOPs within Business Operations. Track policy updates, ensure proper documentation and version control, and coordinate internal reviews and approvals. Act as a central point of contact for policy-related inquiries and help maintain compliance with institutional standards.

20%-Provide backup support for finance team members. Assist with invoice processing, tracking departmental expenses, generating budget reports, recruitment, and managing supplies. Serve as a recruiting coordinator, assisting all departments with their ongoing recruitment processes.

15%-Act as the primary administrative point of contact between the seven Business Operations departments and University HR. Coordinate and communicate HR-related processes such as recruitment, onboarding, position updates, and personnel actions. Escalate departmental issues to the Director of Business Operations as necessary. Ensure timely submission of documentation and facilitate smooth communication between department leadership and HR representatives.

10%-Assists with the management of Contract Services for Business Operations, which includes the Cost-per-Copy Program, Managed Print Services, Vending, and software license management. Works directly with University customers and offers assistance and guidance with understanding the program options. Also assists with attaining estimates and projected cost comparisons.

10% - Provides part-time support to the Business Operations Support Center by providing general customer service and administrative functions for all areas. Responsibilities include but are not limited to: Directing customers to appropriate parking locations and bus stops; Providing bus schedule and next estimated arrival; Offering general departmental information like hours of operation, services provided and contact information; Monitoring departmental email inbox and responding to inquiries or forwarding to appropriate department contact; Assisting with parking citation adjudications; Performing data entry and assisting with reports.

5%-Perform other duties as assigned by the Director in support of the operational efforts of Business Operations and other units within the Operations division.
