Our Trust Operations Support Specialist serves as a vital part of the Trust team performing diversified data entry, reconciliations and information processing functions. In conjunction with the Trust Operations Team, sets priorities and completes job duties assigned to ensure all essential job functions are completed by the team in a time sensitive manner in keeping with established internal guidelines and external requirements.

This position must take initiative and be highly motivated to work independently. Demonstrate strong interpersonal skills, problem solving and is motivated to work as a team player to contribute to the success of the department and in turn, the organization.


Essential Duties:


  • Maintain knowledge of trust, investments, and all departmental procedures to ensure accurate handling of responsibilities.
  • Work alongside the Trust Operations Specialist to complete daily functions that include, but are not limited to, transaction input, distributions, transfers, security settlement, daily settlement with Charlotte, Bank of New York Mellon, Fidelity and Federated Investments, and ongoing client/account maintenance as well as any additional duties that may be required during the daily course of business.
  • Responsible for the Portfolio Account Link online Client Portal, with respect to adding and maintaining client access.
  • Assist in the printing, tracking and mailing of standard departmental letters and forms as needed.
  • Appropriately handle or route client telephone calls. The position must be able to provide an appropriate solution to clients for routine issues.
  • Responsible for the collection, sorting and distribution of all departmental mail.
  • Scan and index documents according to established procedures.
  • Assist in the completion of special projects as assigned by the Trust Operations Manager.
  • Provides back-up coverage for co-workers on various tasks as needed depending on departmental and business needs.
  • Performs other duties as assigned.

Requirements:

Education/Training: College degree preferred but not required; additional banking and/or trust experience will be a plus.


Skill(s): Knowledge of banking systems and procedures preferred; attention to detail and problem solving skills a must; the ability and desire to research issues to find answers, improve processes or to gain understanding when problems arise; the ability to communicate with a variety of personalities in a calm, confident manner and be service oriented. Must be proficient in MS Office (MS Excel and Word in Particular) and Adobe Acrobat; working Knowledge of office equipment, like printers and fax machines required; excellent time management skills and the ability to prioritize work and strong organizational skills with the ability to multi-task


Experience: 2 years preferred but not required in operations or back office environment.
