POSITION PURPOSE AND OBJECTIVES:


The Transportation Coordinator has the primary responsibility for ensuring the health, safety and welfare of the passengers, staff and volunteers during bus transportation to and from the center and on field trips. This position coordinates all the agency vehicles and drivers for programs as needed. This is a year round position.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Safety & Well-being: Ensure the safety of all children and adults being transported to and from programs and field trips. Maintain proper child safety restraints with assistance from Bus Aides.


Regulatory Compliance & Inspections: Arrange and oversee annual state vehicle inspections before program operations begin, ensuring all necessary repairs and approvals are completed. Maintain compliance with all DOT regulations.


Fleet Maintenance & Repairs: Implement a proactive maintenance schedule, including routine services (e.g., oil changes, tire rotations, cleaning), and coordinate necessary repairs. Ensure vehicles are transported to and from maintenance facilities.


Vehicle Operations & Efficiency: Manage fleet scheduling, dispatching, and utilization to maximize efficiency and minimize downtime. Ensure buses are fueled and ready for operation.


Route Planning: In consultation with the EC Director, develop and follow efficient, safe, and written bus routes, ensuring no child is on the bus for more than one hour.


Driver Oversight & Training: Assign vehicles, supervise driver performance, enforce safety protocols, and provide ongoing training. Ensure traffic regulations are always followed and report violations immediately.


Safety Procedures & Compliance: Follow strict procedures for vehicle loading and unloading. Ensure no child is left alone on a bus at any time, verifying all passengers have departed after each trip.


Budget & Expense Management: Monitor fuel usage, control costs, assist in budget planning, and identify cost-saving opportunities for fleet operations.


Record Keeping & Reporting: Maintain detailed vehicle logs, track compliance, and generate reports for leadership review.


Substitute Driver Management: Identify and arrange for qualified substitute drivers as needed to ensure uninterrupted transportation services.


Digital Fleet Management: Utilize digital software to track fleet operations, monitor vehicle maintenance, schedule routes, and ensure compliance with safety regulations.


Staff & Child Supervision: Assist in maintaining child/staff ratios on the vehicles and provide day-to-day guidance to Bus Aides.




6 + months related experience and/or training; or equivalent combination of education and experience

High school diploma or general education degree (GED)

CDL License Class B

Clean DMV driving record

Knowledge of Western Long Island area

Able to lift 30 pounds
