We are looking for an organized and detail-oriented Transportation Admin Clerk to join our team at Belmar Integrated Logistics. This position plays a critical role in ensuring efficient transportation operations by maintaining records, processing documents, and coordinating between various departments. The ideal candidate will have excellent communication skills, proficiency in office software, and a strong ability to manage multiple tasks.
Special Job Requirement: Proficiency in computer skills (Excel/Word), data entry experience, and
comfortable interacting with over-the-road truck drivers.
Requirements Key Responsibilities: - Invoice Verification: Review and verify customer invoices for accuracy.
- Outbound Documentation: Prepare and organize outbound paperwork, including printing invoices and compiling COD information on bills of lading, driver manifests, logs, and inspection sheets.
- Document Management: Ensure all transportation documents are properly completed, authorized, and filed appropriately.
- Administrative Support: Provide general clerical assistance as needed, including sorting, filing, faxing, copying, and distributing paperwork.
- Reporting: Maintain accurate weekly and monthly transportation reports to support operational efficiency.
- Sales Coordination: Assist the sales team by tracing and rerouting orders when required to meet customer needs.
- Driver Activity Auditing: Complete and audit daily activity reports from drivers to ensure compliance and accuracy.
- Record Keeping: Maintain detailed records of COD transactions on bills of lading.
- Attendance and Safety: Consistently maintain good attendance and adhere to all safety protocols.
- Confidentiality: Protect sensitive company information and maintain confidentiality at all times.
- Additional Responsibilities: Perform other tasks and participate in special projects as assigned by management.
Qualifications: - Education: High School Diploma or GED required.
- Experience: Previous experience in clerical roles, particularly within transportation or logistics environments, is preferred.
- Technical Skills: Proficient in Microsoft Office Suite with strong data entry skills and a high level of accuracy.
- Language Skills: Bilingual in Spanish is a plus.
- Communication Skills: Excellent written and verbal communication skills, with a strong grasp of grammar and professional language.
- Organizational Skills: Must be well-organized, resourceful, and capable of managing multiple tasks with minimal supervision.
- Customer Service: Strong phone etiquette and a focus on internal and external customer satisfaction.
- Personal Attributes: High energy, strong interpersonal skills, adaptable, tactful, and able to work effectively with diverse personalities.
