Position: Office Clerk/Admin (Transportation)
Hours: 8:00 AM - 5:30 PM, Monday - Friday
Location: Lancaster, TX
Pay: $16.00 per hour

We are looking for an organized and detail-oriented Transportation Admin Clerk to join our team at Belmar Integrated Logistics. This position plays a critical role in ensuring efficient transportation operations by maintaining records, processing documents, and coordinating between various departments. The ideal candidate will have excellent communication skills, proficiency in office software, and a strong ability to manage multiple tasks.

Special Job Requirement: Proficiency in computer skills (Excel/Word), data entry experience, and comfortable interacting with over-the-road truck drivers.

Requirements

Key Responsibilities:
  • Invoice Verification: Review and verify customer invoices for accuracy.
  • Outbound Documentation: Prepare and organize outbound paperwork, including printing invoices and compiling COD information on bills of lading, driver manifests, logs, and inspection sheets.
  • Document Management: Ensure all transportation documents are properly completed, authorized, and filed appropriately.
  • Administrative Support: Provide general clerical assistance as needed, including sorting, filing, faxing, copying, and distributing paperwork.
  • Reporting: Maintain accurate weekly and monthly transportation reports to support operational efficiency.
  • Sales Coordination: Assist the sales team by tracing and rerouting orders when required to meet customer needs.
  • Driver Activity Auditing: Complete and audit daily activity reports from drivers to ensure compliance and accuracy.
  • Record Keeping: Maintain detailed records of COD transactions on bills of lading.
  • Attendance and Safety: Consistently maintain good attendance and adhere to all safety protocols.
  • Confidentiality: Protect sensitive company information and maintain confidentiality at all times.
  • Additional Responsibilities: Perform other tasks and participate in special projects as assigned by management.
Qualifications:
  • Education: High School Diploma or GED required.
  • Experience: Previous experience in clerical roles, particularly within transportation or logistics environments, is preferred.
  • Technical Skills: Proficient in Microsoft Office Suite with strong data entry skills and a high level of accuracy.
  • Language Skills: Bilingual in Spanish is a plus.
  • Communication Skills: Excellent written and verbal communication skills, with a strong grasp of grammar and professional language.
  • Organizational Skills: Must be well-organized, resourceful, and capable of managing multiple tasks with minimal supervision.
  • Customer Service: Strong phone etiquette and a focus on internal and external customer satisfaction.
  • Personal Attributes: High energy, strong interpersonal skills, adaptable, tactful, and able to work effectively with diverse personalities.
