A recognized services organization in Florida is seeking a new Tracking & Data Entry Assistant to join their team. In this role, the Tracking & Data Entry Assistant will be responsible for supporting the organization's compliance and risk management efforts by ensuring all vendors and contractors maintain valid and compliant Certificates of Insurance (COIs).
About the Opportunity:
- Start Date: ASAP
- Assignment Length: 3 months
- Schedule: Monday to Friday
- Hours: 8am to 5pm
Responsibilities:
- Perform data entry and ensure information is current in the organization's COI management platform or Excel tracker
- Track and maintain records of COIs submitted by external vendors, contractors, and service providers
- Verify compliance with required insurance types, limits, and endorsements
- Follow up with external parties for missing, expired, or incomplete COIs
- Maintain organized digital records in shared drives or document management systems
- Collaborate with internal departments (procurement, legal, risk, etc.) to ensure vendor compliance prior to onboarding or renewal
- Assist with preparing COI compliance reports as needed
- Perform other duties, as needed
Qualifications:
- High School Diploma / GED
- Experience with Administrative and/or Compliance work, especially Data Entry or Document Tracking
- Familiarity with Microsoft Excel or COI tracking software
- Comfortable working with Databases and Administrative systems
- Excellent communication skills
- Strong attention to detail
- Highly organized
Desired Skills:
- Associate's and/or Bachelor's Degree
- Basic knowledge of Insurance terminology
