Essential Functions:
The Title Specialist is responsible for ensuring all mortgage collateral documentation for funded loans are filed accurately and timely with the appropriate state and/or county titling agencies. Serves as Subject Matter Expert (SME) and resource to lines of business for all matters regarding collateral recording.
- Assist with preparation of collateral documents for perfecting lien position (including but not limited to titles, assignments, mortgage satisfactions, partial releases, rescissions, and affidavits) in accordance with state/county formatting guidelines. (licensed in 46 states)
- Request checks from accounting to accompany title work to the appropriate department.
- Assist with the review process of all outgoing documents for accuracy. Reject any invalid collateral documents to appropriate processor/LOB for correction.
- Submit documents either via paper or electronic recording systems.
- Troubleshoot rejected documents for resolution to the county and/or state.
- Receipt and validation of perfected lien including but not limited to titles, assignments, mortgage satisfactions, partial releases, rescissions, and affidavits). This is completed during multiple stages.
- Appropriately update Encompass to current status and fill in all required input information on the title form. This is completed during multiple stages.
- Maintain a working knowledge of applicable regulatory requirements and best practices and be able to communicate this knowledge to requestors and internal groups.
- Maintain and update all applicable county and state recording fees and/or processes as needed due to increases at county and/or state levels.
- Assist with answering department phone calls
- Daily incoming and outgoing mail distribution.
- Follow up is required for missing documents, outstanding title perfections and validations.
- Escalate any complex situations to Title Specialist 2/3 that need additional advice or approval.
- All other duties as assigned.
Minimum Qualifications:
- Knowledge of lien perfection preferred but not required.
- Maintain relationships and provide superior customer service.
- Must be able to multi-task

- Strong verbal and written communication skills
- Ability to work independently as well as in a team setting
- Working knowledge of legal mortgage documents and industry regulations (preferred)
