Position Summary The
Tenant and Special Events Manager is responsible for overseeing event management for BOK Center's tenant teams, including Tulsa Oilers Hockey (ECHL) and Tulsa Oilers Football (IFL), as well as coordinating major venue events such as Winterfest, pre-event street parties, and after-show events. This role also serves as the primary coordinator for ancillary events, including tours, private events, and room rentals. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple events simultaneously while maintaining strong communication with internal and external stakeholders.
This role pays an annual salary of $55,000-$65,000.

Bank of Oklahoma Center, also known as the BOK Center, is located downtown and serves as the premier sports and entertainment venue of the greater Tulsa region. Offering a19,199-seat multi-purpose arena and 565,000 total square footage designed to accommodate concerts, family shows and other special events and has been named on multiple occasions one of the country's best venues.
Responsibilities
- Serve as the primary event manager for BOK Center's ECHL and IFL tenant teams, the Tulsa Oilers.
- Act as the on-site manager for all home games, ensuring smooth execution.
- Serve as the main liaison between tenant teams and internal departments.
- Oversee event logistics, staffing, and operational execution.
- Communicate with municipal officials, including police, fire, and medical services, to ensure patron safety and event security.
- Prepare and maintain event reports, cost estimates, and final billing.
- Coordinate outside service needs with contractors, decorators, and other vendors.
- Respond promptly and professionally to crowd control and crisis situations.
- Plan and execute all aspects of Winterfest, from initial planning to tear-down.
- Secure necessary permits and write comprehensive event reports.
- Coordinate with the ice company for installation, maintenance, and season-long operations.
- Manage internal and external communications regarding event details.
- Oversee budgeting and ticketing operations.
- Work with group sales on private rink rentals and ticketing.
- Oversee marketing efforts and graphic design creation.
- Serve as the main point of contact for all event-related communications.
- Plan and execute pre-event and post-show activations, including staffing, logistics, and vendor coordination.
- Create event reports and oversee event execution.
- Plan, coordinate, and execute private events, tours, and room rentals based on client needs.
- Maintain constant communication with clients before and during events, ensuring deadlines are met (e.g., diagram submissions, set-up specifications).
- Provide exceptional service to every client, patron, and vendor.
- Assist clients in interpreting and adhering to venue policies and procedures.
- Coordinate service needs with OVG Hospitality and make hospitality arrangements as needed.
- Serve as Manager on Duty, as required.
- Research, review, and recommend equipment, materials, and supplies to ensure successful events.
- Attend weekly staff meetings and maintain a harmonious working relationship with all departments.
- Develop and maintain key venue management documents, including:
- Event Handbook.
- Promoter Guide.
- Technical Packet.
- Booking Policies.
- Fire Code Rules & Regulations.
- Ensure all reports and manuals are up to date and accurately reflect current policies and procedures.
Qualifications
- 3-5 years of experience in event management, venue operations, or a related field.
- Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously.
- Excellent communication and client service skills for coordinating with internal teams, external vendors, and event partners.
- Experience with budget management, cost estimation, and event billing.
- Familiarity with ticketing operations and event logistics.
- Ability to problem-solve in high-pressure situations and respond to emergencies professionally.
- Proficiency in Microsoft Office Suite; experience with event management software is a plus.
- Graphic design experience is preferred but not required.
- Ability to work flexible hours, including nights, weekends, and holidays as needed.
