Description of Job

TheDivision of Gamingis looking for aTemporary Aide (Administrative Assistant III) to join the team. POSITIONS WORKS IN THE OFFICE a typical day for this person would include managing the applications process for the Division of Gaming. These responsibilities include accepting and processing applications, receiving payment for services, maintaining records, and handling customer service. If you have in-depth experience working with a diverse customer clientele in a licensing or regulatory environment, then this is the perfect opportunity for you.

Primary Duties:

Application Processing
  • Establishes procedures to receive and process all ownership applications.
  • Ensures applications are complete, have proper fees, and are processed in the database.
Prepares reference letters, conducts computer checks on applicants and generates renewal notices.
  • Issues licenses after Director or Commission approval.
Records Processing
  • Develops scanning and indexing standards and procedures.
  • Scans all correspondence relating to license files.
  • Ensures staff are meeting standards by reviewing scanned files.
Licensing Customer Service
  • Performs license application processing.
  • Conducts background checks to determine statutory and regulatory suitability of applicants for a support gaming license.
  • Interviews and consults applicants with problems that would prevent suitability in order to gain compliance with suitability requirements.
  • Fingerprint applicants.
Disciplinary Actions
  • Finalizes all disciplinary actions taken by the Division or Commission against licensees.
  • Ensures the outcome of disciplinary action is accurately reflected in the licensing database and scans all documentation.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Residency Requirement:

This posting is open to current and non-current residents of the State of Colorado at the time of submitting your application. However, if you are selected and accept the position, you will be required to establish residence in the State of Colorado.

Three years of General Clerical experience.

General Clerical work experience is typically performed by office clerks and/or administrative assistants this includes, but is not limited to tasks such as:
  • Experience providing exceptional customer service in the call center and/or online; interfacing with a variety of people from many levels within the organization and community.
  • Data Entry including: entering information into a program or database (appointments, contact information, customer records)
  • Regular, daily work responsibilities utilizing equipment and software used in offices (E-Mail, Microsoft Office programs (Word, Excel, PowerPoint), Google Apps, Adobe Acrobat Pro, etc.)
  • Regular, daily work responsibilities utilizing computer systems, scanners, printers, copiers, fax machines and other technologies
  • Typing professional emails, letters, reports, briefings, forms, memoranda, etc.
  • Reviewing and comparing data for accuracy and completeness. Gathering specified information and compiling routine reports
In order to be considered for this position, your general clerical and/or call center experience must be documented on your application. (Part-time experience will be pro-rated.)

Substitutions:

College or university coursework in Business Administration, Accounting, Public Administration, Political Science, or similar field may substitute for the required experience on a year-for-year basis.

Preferred Qualifications:

The preferred candidate will possess the following qualifications:
  • Fluency in Microsoft Office Suite (Word, Excel, Access), Gmail and Google Applications and Adobe Acrobat Pro, and the ability to quickly learn other software systems.
  • The demonstrated ability to communicate clearly using a variety of tools.
  • The demonstrated ability to pay attention to detail and analyze the information to determine an outcome.

Conditions of Employment with the CDOR :

Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.

As a condition of employment with the CDOR, all personnel must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations, therefore all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy. Final candidates must also complete a successful background investigation and reference check prior to appointment. Certain positions based on duties may require scheduled background investigations .
