Our client, a leading biotechnology company focused on developing cancer treatments, is seeking a Temporary Administrative Assistant to join their team in Alameda, CA. This role supports a high-level SVP and their team within the data science/biometrics division and plays a key role in ensuring smooth operations across internal and external initiatives.


Job Description:

In this highly visible role, you will act as the primary administrative support for senior leadership, coordinating schedules, handling sensitive communications, and supporting operational logistics for meetings, travel, and onboarding. You will also liaise with vendors, internal stakeholders, and cross-functional teams to ensure smooth execution of daily tasks and special projects.


Key Responsibilities:

  • Manage and maintain complex Outlook calendars for executives and team members.
  • Coordinate domestic and international travel, including flights, hotels, and detailed itineraries.
  • Prepare and process expense reports and reimbursement requests in Concur.
  • Draft and edit confidential documents, correspondence, presentations, and reports.
  • Order and maintain office supplies; assist with onboarding logistics for new hires.
  • Support internal meetings, external visits, and cross-functional event coordination.
  • Maintain office communications (phone, email, mail), routing inquiries appropriately.
  • Assist with IT/facility support requests and special projects as needed.
  • Provide back-up support to other administrative professionals as necessary.

Qualifications:

  • 4-5 years of high-level administrative or executive support experience.
  • Experience supporting biotech or pharmaceutical companies is a strong plus.
  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint, MS Teams, and Concur.
  • Strong background in calendar and travel management.
  • Familiarity with working in a fast-paced, high-demand environment.
  • Excellent written and verbal communication skills; able to interface across all levels.
  • Proven ability to maintain confidentiality, work independently, and take initiative.
