Job Summary:
The Administrative Assistant to the Director of Integrated Technology provides high-level administrative and operational support in a dynamic K-12 public school environment. This role is essential to ensure the smooth functioning of the Integrated Technology Department by managing communications, coordinating schedules, maintaining records, and supporting technology-related initiatives and projects. The ideal candidate will demonstrate strong organizational skills, attention to detail, and a high degree of confidentiality while working closely with district administrators, school personnel, vendors, and external stakeholders.

The Administrative Assistant serves as a liaison between the Director and internal departments, helps coordinate meetings and training, assists with procurement and budget tracking, and supports the planning and implementation of technology initiatives that enhance teaching, learning, and district operations.

Qualifications:
  • Bachelor's Degree or Associates Degree and at least 3 years of experience in Administrative Assistance in public schools or business sector preferred.
  • Must be neat in appearance, have a pleasant personality, and ability to greet the public and get along and work with others.
  • Intermediate to advanced expertise in the use of Microsoft Office Programs, i.e., Word, Excel, Publisher, PowerPoint, and Google Suite.
  • Efficiently operates standard office equipment.
  • Ability to establish timelines, attend to details, and demonstrate capacity to see projects through to completion.
  • Ability to work a flexible schedule, as required, for meetings, and grant preparation for submission.
  • Aptitude and ability to quickly master computer programs and databases, as they become available and/or as current programs are updated and revised.
  • Evidence of skill in written and verbal communication.
  • Experience in maintaining budgets and generating reports preferred.
  • Ability to organize, prioritize, and manage tasks efficiently, assumes responsibility, and maintains confidentiality.
  • Evidence of a desirable work record (i.e., low absenteeism, flexibility, good performance, good time manager).
  • Knowledge of and/or experience with Title I and grants, as-well-as audits, is preferred.
  • Ability to work in a multicultural setting.
Responsibilities:
  • Manage the Director of Integrated Technology's calendar, schedule meetings, and coordinate appointments. Provide direct and/or supplemental support to the Director, i.e. maintain a calendar, schedule meetings, prepare agendas and materials, etc.
  • Prepare correspondence, memos, reports, and presentations. Perform tasks related to ordering materials, processing purchase orders, and receiving materials for all budgets under the direction of the department.
  • Maintain organized digital and paper filing systems.
  • Independently draft correspondence, format reports, and summarize meeting notes as directed and maintain a systematic electronic file of past correspondence.
  • Coordinates appointments, conferences, meetings, travel arrangements and is proficient in using the internet and electronic tools to do so.
  • Track and process purchase orders, invoices, and budget-related documents.
  • Assist with inventory management of technology hardware and software.
  • Handle general office duties including answering phones, greeting visitors, and managing email communications.
  • Assist in coordinating district-wide technology projects and initiatives.
  • Track progress of tech rollouts and maintain documentation.
  • Help schedule training sessions for staff and teachers on new tools or platforms.
  • Support the onboarding of new employees with technology setup and access. (Microsoft and Google accounts, district phone address book, email groups)
  • Maintain and update technology databases (e.g., asset tracking, helpdesk ticketing systems).
  • Run reports from tech systems like SIS (Student Information System), LMS (Learning Management System), and MDMs (Mobile Device Management tools).
  • Provide basic troubleshooting or route helpdesk tickets to appropriate staff.
  • Serve as a liaison between the technology department and school staff, vendors, and community partners.
  • Draft and distribute internal communications or newsletters related to tech initiatives.
  • Coordinate logistics for department meetings, trainings, and events.
  • Assist in preparing documentation for audits, reports, or technology grants.
  • Assist in keeping digital signage and websites up to date
  • Works cooperatively with administration and supports building administration.
  • Plans, schedules, coordinates and/or attends meetings or group activities as specified by the Administrator.
  • Operates standard office machines, makes copies for all professional learning opportunities.
  • Comply with district policies and procedures.
  • Participates in on-going service skills development activities and training programs of a technical or professional learning nature.
  • Performs other duties as assigned.
