Essential Function:

ESSENTIAL FUNCTIONS:

Under the direction and supervision of the Center Director, the Office Assistant is responsible for performing general office support duties for the Child Development Center. This position will serve as frontline staff where policies and procedures are fairly standardized, established, and not subject to frequent or extensive change. Once mastered, duties will follow a general routine and predictable course.

Qualifications:

MINIMUM QUALIFICATIONS:

EDUCATION:

High school diploma or equivalent.

EXPERIENCE:
One year of administrative experience in an office setting.

PREFERRED QUALIFICATIONS:
EDUCATION:

Associate's degree

EXPERIENCE:
Experience working with children in a school setting.
Experience managing multiple phone lines.
Experience managing payments and bill-related questions.

Responsibilities:

RESPONSIBILITIES:

1. Perform general office support duties including answering telephone, greeting children, parents, visitors, students, and/or employees, screening calls, taking messages, responding to voice or e-mail messages, referring individuals and inquires to appropriate personnel, and disseminating department or institution information as necessary.
2. Perform routine duties using word processing, data processing, data entry, database management, and other computer systems and software.
3. Attend meetings as needed. Type and distribute minutes.
4. Maintain calendar for upcoming events, meetings, projects, and activities, and schedule appointments.
5. Prepare, process, and distribute College required paperwork including forms, billings, work orders, requisitions, invoices, etc.
6. Organize and maintain department records and files. Develop effective processes to retrieve and update files as necessary.
7. Assist with event planning and coordination of various special events.
8. Compile data and assist in the preparation of reports.
9. Order supplies and maintain inventory.
10. Assists families and the public with tasks such as filling out child enrollment forms and submitting tuition. Assists with distributing electronic announcements informing staff and families of updates and upcoming events.
11. Performs other job-related duties as assigned by supervisor according to established practices, procedures, techniques, and standards.
