Starting Salary: $17.23 Hourly/$35,838.40 Annually

TEAM SUPPORT ASSOCIATE

The Dauphin County District Attorney's Office is hiring a Full-Time Team Support Associate to join their fast-paced office. An employee in this position provides necessary support to a team of deputy district attorneys with a high volume of case file creation and review, data entry, paperwork management, case preparation for discovery and court proceedings, handling arraignment court-which includes direct contact with criminal defendants, witness subpoenas, correspondence, and entering dispositions as needed. Other duties of this position include case file categorization, preparation, scanning and shredding, assisting at the front desk as assigned, and regular office filing. The work hours for this position are from 8:00 AM to 4:30 PM Monday through Friday. This is a union position.

The employee in this role is also responsible for but not limited to performing the following essential functions listed below:
  1. Creates manual and electronic files for all court of common pleas criminal cases for one of four teams by reviewing and interpreting police criminal complaints.
  2. Performs research to determine defendants' incarceration status online prior to each scheduled court proceeding.
  3. Reviews each defendant for any pending cases to determine proper courtroom assignment.
  4. Gathers digital or paper police reports, dispatch reports, photos, and other miscellaneous materials from various arresting agencies for manual file and scan into electronic file.
  5. Reviews police report for potential co-defendants and marks files accordingly.
  6. Prepares arraignment sheets for cases scheduled formal arraignment proceedings.
  7. Processes and interpret case files after each court proceeding and recording activity and dispositions in the case management system from arraignment through sentencing.
  8. Prepares court orders/writs for transportation of out-of-county and out-of-state prisoners for court proceedings.
  9. Generates and mails subpoenas for victims and witnesses to appear for trials at the request of attorneys.
  10. Generates and mails scheduling letters to defendants, attorneys, and court administration.
  11. Assists assistant district attorneys in obtaining signed medical release forms from victims and requesting medical records from medical facilities to be used at trial.
  12. Enters victim and witness name, address, and phone numbers into the case management system.
  13. Generates and mails restitution/victim impact letters to victims.
  14. Updates addresses for defendants, victims, and witnesses when letters are returned undelivered by the postal service.
  15. Reviews and files all paper filing for open team files in a timely manner.
  16. Aids attorneys with locating open and closed files needed for their review.
  17. Assists with front desk phones and filing duties, on a rotating schedule with other staff.
  18. Assists in stowing and filing of closed files to be stored in the office, basement or warehouse.
  19. Performs all other duties as assigned.

Minimum Education, Experience and Training Requirements:
Graduation from high school or an accredited equivalency program with coursework in secretarial sciences, clerical skills, business administration, business English and/or related fields; Windows/Microsoft Office experience and a favorable criminal background check are required. Prior experience in an office setting is preferred. An employee in this position must have attention to detail and excellent organizational skills.
