Job Summary

We are seeking a detail-oriented and experienced Administrative Tax Support Supervisor to manage the daily operations of our tax administrative support team in a fast-paced professional services environment. This role is responsible for ensuring the accurate, timely, and efficient execution of administrative functions that support tax professionals and enhance client service delivery. The ideal candidate will have a strong background in administrative leadership, with a proven track record in streamlining operations, managing projects, and mentoring staff.

The successful candidate will demonstrate exceptional organizational, communication, and problem-solving skills, and possess a collaborative, solutions-focused approach to leadership. Proficiency with platforms such as CCH Axcess Suite, Salesforce, DocuSign, SafeSend, and Microsoft Office Suite is essential. Prior experience in public accounting and familiarity with CRM and tax software systems are highly desirable. This role plays a key part in maintaining data integrity, ensuring compliance, and fostering a positive and professional working environment across all levels of the organization.

What You'll Do:
    • Supervise and coordinate the daily operations of the tax administrative support team, ensuring timely, accurate, and efficient completion of administrative tasks to support tax professionals.
    • Provide direct administrative support to Partners, Directors, Managers, and Staff (PDMS), with a focus on excellent service delivery to both internal and external clients.
    • Set up new clients, including preparation and processing of engagement letters and setup in systems such as Salesforce, STAR, and CCH Access Suite.
    • Support the annual client engagement process, including generation, delivery, and tracking of engagement letters
    • Maintain and update client records across multiple platforms, ensuring data integrity, compliance, and accessibility.
    • Prepare various types of engagement letters and third-party consent forms in accordance with firm standards and legal guidelines.
    • Create, manage, and track projects in CCH Workstream to support tax engagements and monitor progress through completion.
    • Offboarding of no longer client (NLC) by ensuring accurate removal across all relevant platforms and systems
    • Create and maintain client portals to ensure accurate, secure, and up-to-date access to documents and communications.
    • Train, coach, and oversee the workload of administrative associates within an assigned administrative pool; assist with day-to-day problem-solving and procedural questions.
    • Participate in the annual performance evaluations of administrative staff and provide ongoing performance feedback.
    • Promote and maintain a positive, collaborative, and safe working environment that supports continuous improvement and staff development.
    • Collaborate with tax professionals to ensure administrative processes align with client needs, firm procedures, and regulatory requirements.
What You'll Have:
    • Bachelor's degree in Business Administration or related field, or equivalent work experience.
    • Minimum of 3 years' experience in a professional services environment, with increasing supervisory responsibilities; experience in public accounting is a plus.
    • Proficiency with CCH Axcess Suite, DocuSign, Salesforce, SafeSend, and related tax or CRM platforms.
    • Demonstrated leadership and project management skills, with a track record of improving operational efficiency.
    • Strong written and verbal communication skills with a professional demeanor.
    • Collaborative and consultative management style; able to interact effectively at all levels.
    • Resilient, solutions-oriented, and able to manage challenges with discretion and professionalism.
    • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
