Job Summary: Stonebridge Companies is seeking a highly organized and detail-oriented Systems Administrator to oversee and support its key accounting platforms: M3 Accounting Core, Otelier-DigiAudit+, and Ottimate. This role supports the accounting team by ensuring that these platforms are optimized for accurate financial reporting, smooth day-to-day operations, and strong internal controls, including compliance with SOC Type II standards.
The ideal candidate brings strong hospitality operations or accounting experience, an analytical mindset, and hands-on knowledge of M3, DigiAudit+, and Ottimate workflows including invoice processing, approvals, and financial auditing.
Essential Functions and Duties: System Oversight & Optimization: - Administer user access, workflows, and system configurations across M3, DigiAudit+, and Ottimate.
- Ensure consistency and accuracy of chart of accounts, property setups, and approval routing.
- Serve as the go-to resource for the accounting team on system capabilities and enhancements.
Accounting Support & Troubleshooting: - Support the full lifecycle of invoice processing, approvals, and data integration from Ottimate into M3.
- Work with property accountants and corporate finance teams to resolve system issues and improve daily workflows.
- Troubleshoot problems related to AP processing, expense coding, audit trails, and intercompany entries.
Audit & Compliance (SOC Type II): - Monitor and maintain system controls in alignment with SOC Type II compliance standards.
- Ensure secure access, robust approval hierarchies, and comprehensive audit trails across all platforms.
- Provide support and documentation for internal and external audit requests.
Process Improvement & Reporting: - Identify and implement process improvements for AP automation, monthly close, and auditing.
- Coordinate report creation or enhancements within M3 and DigiAudit+ to support finance and operational teams.
- Assist in ensuring data accuracy between Ottimate and M3, and support reconciliation efforts as needed.
Vendor Coordination: - Serve as liaison with Ottimate, M3, and Otelier support teams for system updates, enhancements, and troubleshooting.
- Evaluate new features and provide recommendations to Accounting leadership on potential implementations.
Required Experience, Education, and Skills: - Strong understanding of AP, month-end close, and financial audit workflows
- Experience in hospitality or multi-property accounting environments
- Proficiency in Excel and comfort working with financial reports and system exports
- Demonstrated ability to self-teach new software, tools, and workflows in a fast-paced, evolving environment
- Strong organizational and problem-solving skills
Preferred: - 3+ years of experience with M3 Accounting Core, Otelier-DigiAudit+, and/or Ottimate (formerly Plate IQ)
- Working knowledge of SOC Type II compliance and internal control standards
Work Environment: This position operates in a professional office environment.
