Job Summary:

The Subcontractor and Compliance Administrator is responsible for overseeing all subcontractor-related activities, ensuring compliance with contractual, legal, and regulatory requirements. This role also supports project administration, including documentation, tracking, and coordination efforts, to ensure efficient project execution. The ideal candidate will be detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

Subcontractor Management
  • Setup and Onboard new Subcontractors
  • Issue subcontractor agreements and scopes of work in coordination with Contracts Manager and project teams.
  • Maintain a comprehensive subcontractor database, including insurance, licensing, and safety and training records (as requested from the safety team), etc.
  • Monitor subcontractor performance and ensure compliance with contractual obligations, including certified payroll requirements.
  • Assist in resolving subcontractor disputes, change orders, and scope clarifications.
Compliance Oversight
  • Ensure subcontractors meet applicable insurance, safety, certified payroll, and project onsite requirements.
  • Monitor insurance certificates, safety documents, and other compliance-related documentation.
  • Conduct periodic audits of subcontractor files and project documentation.
  • Liaise with legal and risk management teams to ensure subcontractor compliance with Company standards and procedures.
  • Maintain up-to-date knowledge of industry standards.
Project Administrative Support
  • Support project managers with document control, tracking RFIs, submittals, change orders, and warranty transfer.
  • Assist with the preparation and submission of progress reports, meeting minutes, and other project documentation.
  • Maintain project filing systems and ensure proper documentation archiving.
  • Provide administrative support during project kickoff, coordination meetings, and closeout processes.
  • Coordinate project bonding requirements with Company Insurance Manager.
  • Assist with employee enrollment in training programs across product lines, upon request.
Qualifications:
  • Bachelor's degree in Construction Management, Business Administration, or related field preferred.
  • 5+ years of experience in subcontractor management, compliance, or construction project administration.
  • Knowledge of contracts, certificates of insurance, and/or regulatory compliance in a construction or service industry setting.
  • Strong understanding of construction project workflows and documentation.
  • Excellent written and verbal communication skills.
  • Detail-oriented with strong organizational and time management abilities.
Preferred Qualifications:
  • Experience in subcontractor management.
  • Familiarity with certified payroll and prevailing wage documentation.
  • Ability to read and interpret construction contracts and drawings.
  • Proficiency with project management software (e.g., Procore, CMiC, Viewpoint, MS Project).
Work Environment:
  • Office-based with potential for hybrid work arrangements.
  • May require travel to other office locations across our footprint.
