Duties and Responsibilities ( denotes essential functions)

1. Administers the Global Environmental Science (GES) program with the GES Chair to include recruitment of students, maintenance of undergraduate student records, coordination and tracking of undergraduate thesis project timelines and advising and coordinating faculty efforts in the program.

2. Coordinates and prepares departmental literature including various departmental technical and informational reports and documents, promotional brochures, undergraduate student informational bulletins, and other internal and external reports.

3. Oversees required semester GES meetings between faculty academic advisors and students.

4. Plans, coordinates and purchases food and materials for all GES-related receptions and activities.

5. Maintains organization of the GES Lounge, including organization of the room and computer equipment.

6. Creates and implements rules and policies for the GES lounge, coordinates renovations, and serves as a liaison for requests and maintenance.

7. Responsible for purchasing GES supplies and equipment as needed.

8. Maintains GES class lists, list servs and directories.

9. Maintains the content of the GES administrative web pages.

10. Develops and disseminates GES materials for program assessment in response to external requests such as a periodic external academic review.

11. Works with the Undergraduate Chair to coordinate the program's ongoing accreditation-related efforts which include but not limited to collection of student learning assessment and program learning outcome data from faculty, liaising with the program's external advisory board, aid in preparing the program's self-study report along with the accreditation review team's site visit.

12. Maintains the GES program's student database for tracking performance metrics such as required thesis experience progress, attrition, graduation rate, post-graduation employment, etc.

13. Creates and maintains a database of resources material for the GES program to assist students in the completion of their thesis.

14. Develops and maintains database for tracking statistics of undergraduate students including attrition, graduation rate, and post-graduation employment.

15. Prepares and maintains comprehensive educational records of students and prepares routine educational reports for Undergraduate Chair and Faculty Advisors.

16. Acts as liaison between Undergraduate Chair and the UH Foundation for distribution of scholarships to GES students which includes coordinating the review and submission of scholarship applications.

17. Communicates administrative procedures to faculty, students, and alumni; classroom assignments; and course schedules.

18. Maintains the content of the department's administrative web pages, the departmental equipment, key inventories, and alumni records.

19. Advises students in their academic degree planning and progress.

20.Other duties as assigned.
Minimum Qualifications

1.Possession of a baccalaureate degree in Business Administration, Education, Liberal Arts, STEM, or related field and 3 year(s) of progressively responsible professional experience with responsibilities for business management and/or student services or related field; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

2.Considerable working knowledge of principles, practices and techniques in the field of business administration and/or student services or related as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.

3.Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with business administration and/or student services or related field.

4.Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.

5.Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.

6.Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.

7.Demonstrated ability to operate a personal computer and apply word processing software.

8.If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.

9.Skilled using a variety of technology resources, including but not limited to: Microsoft Office products, automated student information systems, databases, email, web browsers, and social media.
Desirable Qualifications

1.Professional work experience in an academic/university environment.

2.Familiarity with UH and RCUH policies and procedures.

3.Knowledge of UHM's academic and research programs and support services.

4.Experience with web-editing programs such as Dreamweaver.

5.Experience using UHM's data system including STAR and Banner.
