Position Overview

This is a student clerical position which serves as Library Assistant for the Metadata & Cataloging department in Chambers Library at UCO. The Library Assistant is responsible for the physical processing of all library materials, follows department procedures and workflows to ensure timely access to library materials, assists with collection management workflows, and may assist professional and support staff with various tasks as needed.

Hours per Week
  • Up to 20 hours per week, Monday-Friday, 8am-5pm.
  • Must be available to work a minimum of 10 hours per week.
  • Scheduling is flexible and arranged in accordance with class schedule.
College/Department Overview

Chambers Library's Metadata & Cataloging department provides accurate, effective, and timely access to library resources for the Central community. The department plays a critical role in library operations and collection management through processing library materials for patron use and maintaining data integrity in the library service platform.

Department Specific Job Functions
  • Applies barcodes, property stamps, and security strips to library materials.
  • Creates archival ribbons with call number label and barcode for materials held in Archives & Special Collections and updates item records in the library service platform.
  • Checks in documents sent by the Government Publishing Office and alerts professional staff to discrepancies with items received and shipping lists.
  • Assists with the library's interdepartmental deselection workflow by scanning barcodes, physically moving materials between carts and shelves, and stamping withdrawn materials.
  • Transcribes tables of contents to enhance bibliographic access to library materials.
  • Verifies access to electronic resources (ebooks, databases, streaming videos, library website, etc.) as assigned and reports any errors or outages to Library Systems.
  • Assists with special projects, including but not limited to updating call numbers, preparing basic metadata for institutional repository, creating training materials, or physical processing of campus collections that the library has agreed to make available in the library service platform.
  • Ensures compliance of data input standardization in library service platform, including but not limited to bibliographic records, holdings records, item records, call number shelf list, course reading lists, or electronic collections and portfolios.
  • May participate in professional development or continuing education activities.
  • Performs other related duties as assigned.
Enrollment Requirements

Fall/Spring Semesters: All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. International students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates.

Summer Semester: Student employees working regular student positions must be enrolled in at least 3 credit hours to be eligible to work during the summer. Students not enrolled in summer classes must be enrolled in fall classes in order to work during the summer, but they (and the department) will be required to pay FICA taxes. Student employees working FWSP positions must be enrolled in a minimum of 6 credit hours (if undergraduate) or 5 credit hours (if graduate) in order to work during the summer in a Federal Work Study Program position.

Enrollment Exception: If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. This pertains to both regular and Federal Work Study Program positions. Contact for more information.

FWSP Information (preferred, but not required)

The department is interested in hiring FWSP eligible students, however, it is not a requirement for this job. All students, regardless of FWSP status, are encouraged to apply and will be considered for employment.

To be considered for Federal Work Study Program (FWSP) employment, you must be awarded work study through the Office of Financial Aid & Scholarships. Please be aware, the summer FWSP award is a separate application process, and is not included with the fall/spring FWSP award. Contact Financial Aid for more information.

Enrollment requirements for FWSP employment are the same each semester. Undergraduates must be enrolled in a minimum of 6 credit hours, and Graduates must be enrolled in a minimum of 5 credit hours. If a student is enrolled in their final semester and the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of remaining credit hours needed to graduate and the anticipated graduation date) and provide the letter to the hiring department for submission to Human Resources. Qualifications/Experience Preferred
  • Previous work experience, preferably in a library or office environment.
  • Experience with inventory management.
  • Experience with data entry.
  • FWSP eligibility is preferred.
Knowledge/Skills/Abilities
  • Knowledge of Windows-based computer applications and Microsoft Office applications.
  • Excellent interpersonal and communication skills.
  • Detail-oriented with good organizational skills.
  • Ability to follow technical instructions.
  • Comfortable with repetitive tasks.
  • Ability to work independently.
  • Ability to lift, carry, move, and unpack boxes and library materials.
