Education and Experience - Bachelor's degree in Information Systems, Computer Science, Education Technology, or a related field (or equivalent experience)
- Proficient in using Student Information Systems (SIS) and data management software.
- Experience in accessing and extracting information from data systems.
Certificates and Licensure Requirements - IVP fingerprint clearance card through AZ Department of Public Safety.
Summary - SIS Specialist is responsible for developing the strategy and facilitating the necessary steps to complete timely and accurate reporting for internal and external use. This includes preparing reports and documentation with student data for internal users, district partners, private grants, and state and federal grants. Key responsibilities include ensuring student data compliance with grant requirements and regulatory standards, managing student data sharing with district partners, and uploading district data into the student information system.
Qualifications - Strong knowledge of data management, with the ability to develop and enforce policies related to data use and protection
- Experience in managing grant compliance and reporting, preferably with knowledge of the Arizona Department of Education's requirements
- Ability to stay updated with changes in laws and regulations, adapting quickly to new compliance demands
- Proven experience in compliance management, particularly within an educational or regulatory context
- Excellent communication and interpersonal skills, with the ability to translate technical concepts for non-technical users
- Ability to manage multiple projects and priorities in a fast-paced environment
- Strong ability to collaborate with a variety of end users to ensure effective utilization of the SIS for all stakeholders, both internal and external.
Responsibilities and Requirements - Prepare reports and documentation with student data for internal users, district partners, private grants, and state and federal grants.
- Ensure student data compliance with grant requirements and regulatory standards, manage student data sharing with district partners, and upload district data into the student information system.
- Maintain compliance with student data reporting, as outlined by the state and federal grants.
- Work collaboratively with Student Achievement Department to monitor instructional effectiveness and student progress of implemented technology programs.
- Establish and maintain user access with specific permissions to the SIS and other software related to student instruction, including but not limited to Clever, Google Classroom, Parchment, IEP Pro, ADE Portal, Assessment Platforms and other applicable applications.
- Ensure accurate and timely updates of student data through close collaboration with IT to optimize data integration workflows and troubleshoot any system-related issues, ensuring seamless operations and compliance.
- Develop the process to produce reports, confirm accuracy of data, and maintain necessary documentation in the event of an audit of report submission to the Arizona Department of Education.
- Facilitate the submission of accurate and timely compliance reports to the Arizona Department of Education with district leaders and communicate changes in education code, state, and federal laws, making decisions on necessary adjustments to compliance practices.
- Coordinate the development and implementation of student data reports to meet district partner needs and internal organization needs.
- Develop and maintain documentation related to system configurations, workflows, and processes. Provide technical support, troubleshooting, and training for SIS users across various departments.
- Coordinate system updates, patches, and upgrades in collaboration with IT teams and vendors.
- Provide training and mentorship to SIS end-users. Work collaboratively with Student Achievement and Human Resource departments to support new hires during onboarding, induction and throughout the year for ongoing training.
- Responsible for district wide SIS configuration and deployment of gradebooks, report cards, transcripts, master scheduling, and any other functions required of the SIS for schools to function in accordance with policy and applicable state and federal guidelines.
- Responsible for student records related to enrollment, registration, transfers, discipline, and attendance.
- Collaborate with academic and administrative departments to gather requirements and implement solutions that support operational efficiency.
- Must adhere to strict confidentiality regulations, such as FERPA and HIPAA, when handling student records.
- Experience with SIS or another student information system, as well as district recordkeeping standards and state reporting guidelines.
- Willingness to attend workshops, conferences, and other professional learning both in and out of town and bring back updates and provide training to end users.
