Position OverviewThis position plays a vital role in ensuring the smooth and efficient operation of the clinic by providing comprehensive support for daily administrative functions and front-desk responsibilities. The individual in this role will assist with a wide range of tasks that contribute to the overall effectiveness of clinic services and the client experience.Job Description90% Clinic Assistance
  • Greeting clients, answering phones, receiving payments, issuing receipts, entering parking passes.
  • Scheduling and client outcome information into a database and filing hard copies into client files.
  • Prepare mailing labels and other materials for mass mailing.
  • Take accurate telephone messages and deliver to appropriate faculty, students, or staff.
  • Answer inquiries from general public, faculty, students, or staff in pleasant and competent manner, taking care not to disclose confidential information unless appropriately authorized.
  • Close clinic at the end of the working day, taking care to lock file cabinets containing confidential materials, check to ensure therapy rooms, equipment rooms, and office are properly secured and locked.
  • Clinic coverage when Clinic Admin is not working or available.
10% Admin Associate and Director Support:
  • Aid the Admin Associate and Clinic Director with specific clerical tasks as requested.
Required Qualifications
  1. Strong verbal and written communication skills as indicated on application materials.
Preferred Qualifications
    Familiarity with the regulations associated with the Health Insurance Portability and Accountability Act (HIPAA) as they relate to clinic operations as indicated on application materials.

    Student in the KU Clinical Psychology program or a similar program of study at the University of Kansas as indicated in application materials.

    Some experience in general office, clerical, and/or administrative support work as indicated on application materials.

    Availability to work during University breaks (e.g., spring break, summer break).

Position RequirementsDuring the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).Employment Conditions(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position.
