Position OverviewStudent Events Assistant
The Dole Institute of Politics hosts a variety of programs during the academic year, such as political discussions, interview sessions, and roundtable discussions. The Dole Institute of Politics' Student Advisory Board (SAB) is a way for dedicated students to get involved and volunteer their time and energy. It is a group of students that are interested in politics, public service, and leadership, and take part in volunteer, educational, and social events as well as monthly meetings.

We are currently hiring one Student Events Assistant.

The Student Events Assistant assists with execution of most events throughout the semester with planning, set-up, and logistics of events. Serving as student program leader for the majority of programs, the Events Student Assistant coordinates and organizes volunteers and student workers to help out with both evening and afternoon programming.

It's required to be a current, active SAB member to apply for this position.

Per the State of Kansas, student employees may hold concurrent appointments not to exceed maximum appointment and hours worked levels . However, concurrent student appointments must be of matching FLSA designation (exempt/salaried or non-exempt/hourly).Job Description40% Event planning and support
  • Orient volunteers with their duties at the program.
  • Create/edit the run-of-show when needed.
  • Identify potential SAB members for pre-event dinners each semester based off involvement and who has not yet been previously invited.
  • Send a reminder email to SAB volunteers and dinner guests ahead of the program to get confirmation of attendance.
  • Ahead of each program, print pre-approved program handouts, entrance sign, volunteer name tags, dinner-guest name tents, event sign in sheets, and reserved seating tents, as well as assemble goodie bag for guests.
  • During events, check in dinner guests, make sure media release is signed, display entrance sign, print student introduction, record headcount, work Q&A, and assist with light cleanup. Also, monitor as needed during Q&A.

30% Outreach
  • Attend 1 SAB recruitment event and 4 SAB meetings each semester as a representative of the SAB.
  • Recruit and schedule Dole Institute Student Advisory Board members to volunteer for events and programs and select volunteers to do the student introductions.
  • Prepare slides about upcoming events/volunteer opportunities for monthly SAB meeting and cover some events by writing a blog psot.
  • Promote evening/afternoon programming in SAB GroupMe.

30% Administrative Duties
  • Reach out to student workers for their availability at the beginning of the semester and schedule 3-4 student workers to work at each event. Also, do so when new events are added.
  • Collect student sign-in sheets and manage records of event attendance on the G-drive, including SAB attendance and volunteer numbers.
  • Work with other Dole Institute staff using SAB members statistics to determine awards at the end-of-the year SAB Banquet.
  • Schedule and attend weekly marketing meetings with other student workers.
  • Assist other student workers with their respective events.
  • Assist Dole Institute staff in various administrative duties assigned, including spreadsheet preparation, mailings, and other duties related to supporting events during the academic year.
Required Qualifications
    Availability to work on Tuesday, Wednesday, and Thursday evenings.
  1. Served at least one semester and be a member in good standing on the Dole Institute Student Advisory Board
  2. Experience with Microsoft Office and Outlook programs
  3. Excellent oral and written communication skills as evidenced by coursework
  4. During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments)
    Preferred Qualifications
    1. Past participation in Dole Institute events or programs
    2. Experience in event planning
    3. Eligible for federal work study
