Description The Secretary of State (SOS) is seeking to hire a student to assist with the implementation of the following projects, under the direction of the Business Services Manager:
- Asset and Forms Management (i.e., forms, envelopes, tangible/intangible assets, etc.).
- Space Planning.
- Business processes (i.e., streamline, improvements, workflow, etc.).
- Other related duties consistent with the goals and objectives of the projects to which student(s) are assigned, and with the mission of the Secretary of State.
RequirementsConditions of Employment This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Prerequisites Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Majors/Fields of Study Business Administration, Political Science, Communications, Marketing
Work Schedule Flexible workdays and work hours, Monday - Friday, between 8 AM - 5 PM. The final work schedule will be determined by the supervisor.
Additional Work Schedule Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday - Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).
Minimum Qualifications- Candidate must be familiar with general office procedures and possess exceptional customer service skills in a professional office setting.
- Must be familiar with Microsoft (MS) Word, Excel, Outlook and Visio.
- Have good attendance, be punctual and professional.
- Be able to work both independently and in a group or team situation.
- Must maintain accurate records, pay strict attention to detail, and communicate effectively with the public as well as all levels of staff.
- Must be reliable and have strong language and grammar skills.
Preferred Qualifications- Previous experience in a business administration or operations role.

Duties and Responsibilities Under the guidance and direction of the SOS staff, and in a learning capacity, duties may include the following:
- Assist in the maintenance of office files; reproduction, distribution and delivery of materials.
- Open and sort incoming mail for the Agency.
- Assist with receipt and delivery of mail (USPS, UPS, FedEx and other express mail carriers) for the Agency.
- Assist customers at the Business Services Counter and in the Loading Dock with various questions and requests for information.
- Assist in gathering information for reconciling invoices.
- Assist with filing of miscellaneous documents/records.
- Ability to respond in writing and verbally to management inquiries regarding status of current workload and provide suggestions as to potentially better workload management and processes.
- Assist with establishing a Forms Management program.
- Assist with reconciling SOS's Asset Management program.
- Assist with designing, making recommendations and presenting Management with space planning recommendations for better utilization of SOS's allocated space within the SOS Complex.
Physical Requirements Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation. Be able to work in an office setting which is temperature controlled and in a warehouse setting which is not temperature controlled. Must be able to lift/carry/push items up to 50 lbs, to stand and/or sit for long periods of time processing mail, reproducing documents, conducting inventories and keeping work areas including warehouse spaces free of clutter and hazards.
