Position Summary

This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Student Administrative Assistant for the School of Forestry Administration at Oregon State University (OSU).

The College of Forestry Dean's Office seeks a Student Assistant who will be responsible for administrative tasks as part of the student reception team. This is a part-time position with hours ranging 10-24 a week between the hours of 8am-5pm, Monday-Friday, with occasional evenings and weekend shifts optional. Opportunity to work over breaks and summer. Work hours will be scheduled in coordination with other student workers and will vary term to term depending on class schedules

Position Duties

100% Administration, Events, Communication, and Reception:
  • Be first point of contact for all visitors and guests to the Dean's Suite and uphold high standards of customer service at all times.
  • Perform all main reception operations including answering phones, email, and handling visitors' queries and questions.
  • Draft correspondence via email and letterhead, input data in spreadsheets, organize electronic and hard-copy files, and update website information.
  • Coordinate calendars and make appointments for faculty and administrators.
  • Reserve rooms, create catering orders, order supplies, process and sort mail, and process reimbursements.
  • Prepare meeting and event materials, such as name badges, table tents, and agendas.
  • Maintain orderly, neat, and clean appearance of offices and conference rooms.
  • Support the Dean, Associate Deans and Administrative Assistant, and in completing administrative tasks that support the mission of the College.
  • Assist the Event, Outreach and Administrative Managers in college event planning duties.

• Facilitate the hiring and training of new student employees.

• Help to create an inclusive and welcoming environment for all who enter the Dean's Suite.

• Professionally represent the College of Forestry in all interactions with stakeholders in the course of daily work.

Minimum Qualifications

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term
International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

Additional Required Qualifications
  • Proficiency using Microsoft programs such as Word, Excel, PowerPoint, and Outlook or similar platforms.
  • Attention to detail and high organizational skills.
  • Strong written communication skills and ability to proofread copy for grammatical errors.
  • Effective interpersonal skills to communicate and gain clarification, when needed.
  • Ability to maintain a high level of confidentiality.
  • Flexibility to switch between tasks to achieve goals in a dynamic environment.
  • Ability to prioritize and complete tasks efficiently.
  • Demonstrable skill to work both independently and in a team environment.
Preferred (Special) Qualifications
  • Experience in an office setting or in event management.
  • Public speaking skills.
