Job SummaryThe Administrative Support Associate I will assist in actualizing the mission of the College of Social Work by providing reliable, high-quality administrative support across the College's Centers and Labs. This position will report directly to and primarily support the Associate and Assistant Directors while also assisting Program Directors, Coordinators, and other key staff. The incumbent will contribute to the success of both new and ongoing initiatives by offering strong operational, logistical, and communication support in a fast-paced, multi-unit environment.
Specific job responsibilities for this position break down as follows:
1. Leadership Support & General AdministrationThe Administrative Support Associate I will serve as the primary administrative assistant to the Associate and Assistant Directors of Centers and Labs. This includes managing calendars, scheduling meetings, and coordinating logistics related to leadership activities. The incumbent will prepare meeting materials, maintain organized files, draft correspondence, and take minutes when necessary. In addition, the position will assist in editing, formatting, and distributing internal and external communications, as well as collecting and organizing budget-related materials, managing purchase requests, and overseeing supply orders in support of overall program administration.
2. Programmatic & Data Entry SupportThis role provides critical administrative and clerical support to ensure the smooth operation of both new and established programs. The Administrative Support Associate I will assist with entering and maintaining data, training credits, professional development activities, and other program functions. This includes updating relevant systems and databases, managing spreadsheets and templates, submitting training forms, and supporting consistent data collection and entry to facilitate accurate monitoring and stakeholder reporting.
3. Meeting, Event & Project Coordination The Administrative Support Associate I will coordinate logistics for a variety of meetings, trainings, and events across Centers and Labs. In collaboration with the College's event staff, this includes reserving rooms, planning event timelines, and managing calendars. The position provides both pre- and post-event support, such as preparing handouts, managing attendance tracking, collecting evaluations, and compiling follow-up documentation. The individual may also support leadership in coordinating and executing special projects tied to new initiatives and program development goals.
4. Outreach, Communication & Engagement This position plays a supporting role in outreach and communication efforts to promote Centers and Labs programming. The incumbent will assist with submitting communications, marketing, and event requests, as well as coordinating the development and distribution of promotional materials. They will help manage items such as Medical Passports and support broader visibility efforts by attending relevant meetings, trainings, and conferences. The Administrative Support Associate I may also help facilitate engagement with community stakeholders and internal partners.
5. Operational Support & Vendor Coordination The Administrative Support Associate I will contribute to smooth operational functioning by coordinating with vendors, obtaining quotes, and submitting purchase orders. This includes tracking supply orders, confirming deliveries, and assisting with the organization and inventory of promotional and operational items. The individual will also support coordination with independent contractors and external partners, ensuring that key resources and logistics are aligned with program and event needs.
