With the assistance of other on-site staff, the SPM will be responsible as follows:


  • Contract Management
  1. Direct responsibility for the management of key property service contracts, which include but are not limited to engineering and janitorial services contracts.
  2. Ensures that all assigned contractors remain fully compliant with all contractual obligations.
  3. Performs audits of contractors' performance to ensure the property is getting high levels of productivity and service. As required, takes the lead role in negotiating any contract renewals or bid processes.
  4. Manages sub-contractor activities for goods and services including preparation of scopes of work, RFPs, bid analysis, negotiating favorable terms and rates, preparing contract documents and monitoring sub-contractor performance.
  5. Manages day-to-day operations w/ key property service teams and external vendors.
  6. Supervises team members, establishing goals and objectives that will help each team member grow, preparing performance evaluations for direct reports and communicating the vision for operations and maintenance. Contributes to a positive work environment and works to motivate and reward staff.


  • Financial Controls
  1. Performs financial control activities including the development of annual operating budgets, performing monthly budget versus actual analysis and re-forecasting allocations as necessary, rent collection and meeting annual financial and collection targets.
  2. In collaboration with the GM, contributes to the preparation of strategic plans and financial analysis of the property including financial indicators, market analysis and long-term project plans.
  3. Ensures that the property has expense controls in place so that expenses are properly authorized, accounted for and at or below projected levels
  4. Ensures that the property's financial processes perform within client requirements on a monthly and annual basis
  5. Performs audits of internal controls to ensure compliance to established standards.
  6. Reviews and approves invoices.
  7. Reviews and validates CAM charges and reconciliations.Prepares tenant memos and notifications relating to CAM reconciliation charges and provides backup information to support the reconciliation and to answer any tenant-related questions relating to the reconciliation.
  8. Prepares variance reports, including explanations for any variance within the general operating budget for GM approval.
  9. Follows procedures outlined in lease agreements for late rent collections and work with landlord to process legal documents, including demand and default notices as well as process evictions.
  10. Reviews and approve the rent roll to verify that the information is correct and accurate.
  11. Provides recommendations for the reallocation of funds to accommodate unbudgeted projects.

  • Facilities Management:
  1. Has direct responsibility for managing the on-site engineering team and all contracted facilities services. Supervises/manages the engineering staff through knowledge and understanding of current client and property vision, mission, values, policies and procedures.
  2. Performs weekly property inspections and effectively manages the preventative and corrective maintenance schedules in collaboration with the engineers and subcontractors to ensure that all property equipment performs at optimal efficiency and longevity.
  3. Oversees timely and cost-effective property repairs, minimizing any disruptions to the property's operation. Manages the property's long-term budgets and plans and recommends additions and changes as conditions of the property dictate.
  4. Acts as the property's and client's representative in overseeing tenant construction, renovations and remodels, ensuring compliance with client standards.
  5. Leads and drives operations projects and initiatives, ensuring the seamless execution of deliverables by engineering, janitorial and third-party contractor teams.

  • Operations Project Management:
  1. The SPM may be given specific responsibilities for leading the development and execution of property-specific special projects that improve productivity, service levels and/or financial results.
  2. Leads operations' project management to deliver scopes of work on time and within budget.
  3. Develops comprehensive work plans, including detailed narratives, schedules, timelines, maps, and contact lists for various assigned projects.
  4. Manages third-party contractors, ensuring compliance with contract terms, safety and environmental regulations, and quality standards.
  5. Tracks key milestones and updates, overall project schedule, communications with client regarding project progress.
  6. Utilize project schedule as planning tool for key milestones associated with funding sources and fiscal year deliverables.
  7. Ensure project compliance with Union Station rules and regulations, and construction guidelines as per Metro standards.
  8. Supervises team members, establishing goals and objectives that will help each team member grow, preparing performance evaluations for direct reports and communicating the vision for operations and maintenance. Contributes to a positive work environment and works to motivate and reward staff

  • Capital Project Management:
  1. Works with the on-site capital projects group to coordinate operations services where needed to assist with major construction and renovation capital projects.

  • Event Management:
  1. Works with the Marketing and Event Director to support special private and public events and projects and to provide management oversight to ensure that all conditions and objectives for each event are met.
  2. Assists in implementing plans for cultural, artistic and community events to supplement the team's efforts to attract patrons to the property and to enhance the image of the property.
  3. Helps create and implement plans to enhance marketing programs to support and grow tenant businesses.
  4. Participates in proactive planning, execution and management of all major events (planned and unplanned), ensuring that all departments and vendors understand a cohesive vision, which is fully coordinated, and effectively staffed.

  • Property Management:
  1. Serves as a senior manager at the property reporting to the General Manager. Participates in management duty rotation, serving as an on-call executive for any property issues.
  2. Manages insurance and legal claims/notices including collection and preparation of appropriate documentation relating to reports while coordinating efforts with other staff members to see a claim/notice to completion.
  3. Reviews and prepares entry permits relating to free speech requests.
  4. Responds to emergencies, equipment failures, and special projects as appropriate to the position.
  5. Attends business meetings as requested and appropriate.

  • Emergency Management:
  1. The SPM is an integral part of the Station's Emergency Preparedness Committee, which ensures the property is properly prepared for any emergency situation.
  2. Assists the GM in liaising between Emergency Management and contracted security forces and law enforcement agencies.
  3. Assists the GM with high level decision making on property logistical issues and expense approvals/controls related to Emergency Management.
  • Desired Skills and Experience:

    1. More than ten years' experience in a 24-hour commercial property and/or facility management environment with a thorough knowledge of retail and office environments, technical, financial, leasing and service contract management functions.
    2. Experience in implementing public cultural and promotional events and creating and implementing tenant promotions and marketing programs.
    3. Experience supporting full-scale events and sponsorship activations.
    4. Experience in participating in and motivating functional teams.
    5. Exceptional leadership qualities including the ability to lead, motivate and coach direct reports and staff.
    6. Ability to work under limited supervision within tight deadlines in a fast-paced environment.
    7. Highly motivated and success driven.
    8. Excellent time management skills and the ability to manage conflicting priorities in order to meet deadlines and job requirements.
    9. Excellent verbal and written communication skills, including effective presentation skills.
    10. Strong negotiation, analytical and problem-solving skills.
    11. Strong computer skills in Microsoft Outlook, Word, Excel, PowerPoint, Adobe Acrobat and MRI.
    12. California real estate license preferred and required within 6 months of employment.
    13. College degree preferred.
    14. Professional designation a plus (CPM, ACom, CSM, RPA, FMA, SMA).
    15. The position will report to the on-site General Manager.
