Position Summary:
We are seeking a highly organized and detail-oriented Senior Coordinator to join our Sponsorship Operations team. This role will support the execution, fulfillment, and operational management of brand sponsorships across live events, with a strong focus on delivering exceptional onsite experiences. The ideal candidate thrives in fast-paced environments, communicates clearly across teams and clients, and has a passion for music, live events, or agency work.
Key Responsibilities:
Sponsorship Fulfillment:
- Track event activities and ensure all sponsor benefits and deliverables are fulfilled accurately and on time.
- Support onsite brand activations, ensuring alignment with contractual obligations and brand standards.
Event Coordination:
- Coordinate on-site operations during events, including setup, logistics, credentialing, and vendor management.
- Serve as a primary onsite contact for sponsors, vendors, and internal production teams.
- Troubleshoot and solve onsite issues to ensure a seamless sponsor experience.
Relationship Management:
- Maintain and nurture positive relationships with sponsors through proactive communication and follow-up.
- Address sponsor needs and resolve issues quickly and professionally, both pre-event and onsite.
Data & Process Management:
- Track sponsorship data and deliverables pre-, during, and post-event.
- Support reporting and analytics efforts by gathering metrics, partner feedback, and documentation for post-event recaps.
- Maintain organized tracking documents, asset inventories, and production schedules.
Financial Management:
- Assist with sponsorship budgeting, including tracking expenses, and managing invoicing and payment reconciliation.
- Ensure accurate financial record-keeping tied to sponsorship deliverables and costs.
Collaboration:
- Partner closely with sales, marketing, event production, creative, and operations teams to ensure smooth execution of sponsorship activities.
- Support internal meetings, timelines, and action item follow-ups to drive project success.
Qualifications:
- 2-4 years of experience in sponsorship operations, event production, experiential marketing, or a related field.
- Live event experience (music festivals, sports events, large-scale activations) is highly preferred; agency experience is a strong plus.
- Exceptional organizational skills with high attention to detail and follow-through.
- Ability to manage multiple priorities and projects under tight deadlines.
- Strong interpersonal and communication skills; client-facing experience is a plus.
- Willingness to travel and work flexible hours including weekends, nights, and holidays during event periods.
- Proficient with Microsoft Office Suite (Excel, PowerPoint) and familiar with project management platforms (e.g., Click Up, Asana, Airtable).
- Comfortable working in fast-paced, high-pressure environments.
Preferred Experience:
- Background in the music, live entertainment, or experiential marketing industries.
- Knowledge of sponsorship contracts and brand activation processes.
- Experience supporting high-profile clients and working in high-pressure, live-event environments.
