Description

The Special Events Coordinator is responsible for planning, coordinating, and implementing city and community events in the downtown Chamblee area. Facilitate placemaking initiatives to foster the connection between downtown Chamblee business owners and the city. Work requires limited supervision and the use of independent judgment.

ESSENTIAL FUNCTIONS
  • Coordinates and facilitates special events for the city, including themes, concepts, and objectives in relation to organizational goals and Council initiatives. Work towards the expansion of events.
    • Tasks include, but are not limited to, creating, and executing contracts, securing vendors and talent, managing ticket sales, structuring, and maintaining budgets, preparing financial and attendance reports, working on campaigns alongside Marketing Coordinator, etc.
  • Engage with community groups and stakeholders with the goal of promoting and securing volunteers for festivals and events.
  • Develop relational connections, collaboration opportunities, activities and incentives for local businesses, stakeholders, and others to partner in festivals, events, and programs to increase tourism.
  • Develop incentives and investment opportunities for local businesses, stakeholders, and others to sponsor the City's festivals, events, and programs in an effort to increase tourism.
  • Generate enthusiasm for the Chamblee community from all major community stakeholders and the community at large.
  • Foster a placemaking environment by encouraging collaboration between city departments and downtown business owners.
  • Assist third party partners with community events
  • Oversee temporary alcohol license applications
  • Facilitate various sponsorship sale opportunities.
  • Researches and recommends opportunities for special events and community partnerships with outside organizations.
  • Serves as a liaison between city departments, business owners, and vendors in the coordination of special events.
  • Assists in the development of marketing materials and managing advertisements for a variety of events.
  • Coordinates the work activities of employees and volunteers at events.
  • Participates in the development of the budget for special events.
  • Participates in the negotiation of event contracts and service agreements.
  • Presents reports and outcomes of events to City Council and City Management team.
ADDITIONAL JOB FUNCTIONS
  • Other duties as assigned.
SUPERVISORY RESPONSIBILITIES
  • Provides direction to volunteers as necessary
Qualifications
  • Bachelor's degree in fields related to event planning, hospitality, integrated marketing, or community development required. 2+ years of experience in event planning required
  • Marketing, communication, or design experience a plus
  • Grant writing and fundraising skills a plus
  • Ability to develop and maintain effective relationships with others; relates well to people from varied backgrounds and in different situations; shows understanding, courtesy, tact, empathy, concern, and politeness.
  • Ability to access and review standard budget reports as appropriate for the organization; Experience creating yearly spending plan for all budget accounts; Ability to keep appropriate records of organizational spending and tracks it against spending plan and reallocate resources as organizational change occurs.
  • Ability to regularly analyzes budget data to identify trends and improve the cost effectiveness of unit processes and practices; gathers and organizes credible data to make a business case for changes and additional resources.
  • Ability to write and speak effectively, using conventions proper to the situation; ability to state own opinions clearly and concisely and demonstrate openness and honesty; Ability to listen well during meetings and feedback sessions and explain reasoning behind own opinions; ability to exercise a professional approach with others using all appropriate tools of communication; uses consideration and tact when offering opinions
  • Experience working cooperatively with others, inside and outside the organization, to accomplish objectives to build and maintain mutually beneficial partnerships, leverage information, and achieve results.
  • Experience exercising good judgment by making sound and well-informed decisions; ability to perceive the impact and implications of decisions; ability to make effective and timely decisions, even when data are limited, or solutions produce unpleasant consequences.
  • Able to manage multiple projects; able to determine project urgency in a practical way; uses goals to guide actions; creates detailed action plans; organizes and schedules people and tasks effectively
