Position Overview

ESH's The Winter Show is the nation's most prestigious art, antiques, and design fair, attracting collectors, patrons, and experts from around the world. Since its inception, the Show has served as a vital fundraiser for education and workforce programming. Held annually at the Park Avenue Armory, the show brings together top dealers, collectors, and design enthusiasts to celebrate fine and decorative arts from around the world.

East Side House seeks a highly organized and proactive Consultant for the position of a Special Events Coordinator with excellent communication skills and attention to detail. They will work closely with leaders at East Side House Settlement for The Winter Show.

This individual will support the planning and execution of key fundraising and engagement events, including the Design Luncheon, Opening Night Party (ONP), Young Collectors Night (YCN), the VIP Luncheon Series, VIP receptions, lectures and tours. The ideal candidate will cultivate relationships with donors, and a growing base of design-savvy and emerging collectors, ensuring that both organizations continue to evolve and expand their reach.

Key Responsibilities

Event Coordination and Execution
  • Develop and manage a calendar of fundraising and engagement events (luncheons, lectures, tours, VIP receptions, etc.) that align with both The Winter Show's sensibility and East Side House Settlement's mission.
  • Coordinate all logistics related to these events, including invitations, guest lists, seating arrangements, vendor coordination, and onsite execution.
  • Proactively follow up with committee members to ensure timely receipt of lists, drive ticket sales and maximize attendance.
  • Act as the primary liaison for:
    • Table hosts (Design Luncheon)
    • East Side House (ESH) Board Members (for ONP)
    • Young Collectors Co-Chairs (for YCN)
    • VIP Luncheon Series
  • Collaborate with internal teams to create cohesive marketing and communications strategies that drive attendance and visibility.
  • Manage and execute the distribution of invitations to committee lists (Design Luncheon, VIP Luncheons, YCN
  • Send out agreements for private member clubs and organizations for Connoisseurs Night, VIP Luncheons, etc.
  • Build on outreach to corporations, museum groups, and private member clubs to host small events and group tours
  • Maintain consistent communication with stakeholders, providing updates and addressing inquiries.
  • Ensure timely follow-up with invitees to drive ticket sales and maximize attendance.
Sales & Reporting
  • Partner to track RSVPs, ticket sales, and fundraising progress, reporting updates weekly to the team.
  • Work closely to monitor outreach efforts and identify additional opportunities for engagement.
Administrative & Logistical Support
  • Oversee invitation text and proofread for accuracy.
  • Catalogue - coordinate and proofread host and committee lists for the catalogue for all events.
  • Order and manage event supplies, materials, as needed.
  • Assist with on-site event setup, check-in, and guest management.
  • Coordinate with vendors and service providers to ensure event needs are met.
  • Collaborate on post-event reports and assist in follow-up efforts.
COMPENSATION
  • Competitive monthly rate, commensurate with experience.

Qualifications

Qualifications & Skills
  • Bachelor's degree or equivalent experience in event management, nonprofit management, marketing, arts administration, or a related field.
  • Interest in event coordination, preferably in arts, design, or nonprofit sectors.
Skills:
  • Highly collaborative, team-oriented, and committed to missions.
  • Strong organizational and project management skills with the ability to manage multiple events and deadlines simultaneously.
  • Excellent written and verbal communication.
  • Ability to manage multiple stakeholders and maintain professional relationships.
  • Detail-oriented, proactive, and able to work independently.
  • Comfortable with Microsoft Office, Google Suite, and CANVA.
  • Proficiency with donor management or CRM systems (e.g., Raiser's Edge, Salesforce) is a plus.
WORK CONDITIONS
  • August 2025 - February 2026, 3 days per week
  • Some evening/weekend availability as needed.
  • Must be available throughout the duration of The Winter Show 2026.
  • On-call responsibilities for crisis intervention and emergency management may be required at times.
