What Success Looks Like In This JobThis position provides clerical and administrative support for the Civil Section of the Patrol Division. This position is located at the Adams County Courthouse.
Examples of Duties for Success- Provide highly responsible administrative and clerical assistance and technical support to the Civil Section by conducting specific and comprehensive analysis of policies, organizational procedures, finance, and service.
- Perform moderately complex and varied administrative functions.
- Requires the application of independent judgment, interpretation of applicable policies, procedures, and governmental guidelines.
- Ability to work independently with minimal supervision, performing tasks under pressure and heavy workload.
- Interpreting court-issued documents for statutory efficiency and completeness before assignment for service.
- Ability to apply Colorado Statutes to each case received and recognize special requirements to be applied regarding out-of-state papers.
- Complete an accurate computerized affidavit of service for each process received.
- Ability to work within constant deadlines requiring papers being served and/or returned to the court mandated by the statutes.
- Ability and knowledge to understand the Colorado Rules of Civil Procedure and Colorado Statutes, as well as the ability to apply them to complex legal documents.
- Conduct various inquiries and modifications using the CCIC/NCIC computer.
- Review Civil documents for accuracy and authenticity before assignment for service.
- Formulate and prepare documents in legal terminology for the Sheriff's signature.
- Provide general civil process information to the public, including attorneys, landlords, other law enforcement, and governmental agencies.
- Ability to explain, with accuracy, the Sheriff's Office procedures on all civil processes.
- Provide assistance and direction (NOT LEGAL ADVICE) for citizens completing a civil process. Answer questions and know where to refer them to the proper agency or division.
- Answering public and court inquiries regarding the state of papers.
- Assist outside agencies with civil questions or procedures.
- Prepare returns and other forms requiring very accurate completeness.
- Compile and analyze data and statistical information for Civil Section monthly reports and Sheriff's Office Annual Report.
- Prepare, type, and proofread various reports, forms, letters, and statistical information related to civil process and the Sheriff's Office.
- Assist in planning, organizing, designing, and implementing new programs and revising existing clerical activities.
- Plan, prepare, and distribute intra/inter-departmental communications.
- Assist the Civil Sergeant in reviewing projects, tasks, and assignments conforming to civil regulations and procedures.
- Prepare the Civil Section's deposits and/or refund forms.
- Maintain a petty cash fund for the Civil Section.
- Maintain records and files for the Civil Section.
- Monitor supply inventory and prepare purchase order requests. Track and monitor the Section's budget. Provide account information to the Sergeant.
- Accept, interpret, and prepare documents necessary for levying personal property, real property, and Decree of Foreclosures.
- Accept, interpret, and prepare the seizure under court order, Writ of Attachment, Writ of Replevin, and Order for Possession.
- Ability to efficiently manage and conduct Sheriff's sales issued from the District and County Courts.
- Prepare complex and accurate paperwork and documentation upon the completion of a sheriff's sale for the courts. This requires recording certain documents with the County Clerk and Recorder and publishing a Notice of Sheriff's Sale with a local newspaper.
- Prepare legal documents required for Sheriff Sales. Send notice to the local newspaper for publication. File and maintain Sheriff's sale records.
Qualifications for Success- Knowledge of Microsoft Office Excel, Word, and Outlook.
- Ability to accurately and efficiently enter data.
- Ability to maintain a high level of confidentiality beyond the normal scope of employment requirements.
- High School Diploma or equivalent education.
- Two years of clerical experience in a law enforcement agency or related field preferred.
More Qualifications for Success- General knowledge of math and grammar.
- Knowledge of Sheriff's Office policies and procedures.
- Be knowledgeable of the RMS, JMS, ILEADS, and CCIC/NCIC systems.
- Ability to gather, analyze, and evaluate facts and evidence.
- Exercises independent judgment regarding procedures and techniques required to complete assignments.
- Strong analytical and organizational skills and the ability to prioritize, multitask, and provide high-quality work product under tight deadlines.
- Knowledge of Federal/State laws and statutes applicable to the law enforcement support function of the job position.
- Must have excellent communication and interpersonal skills to communicate effectively, orally, and in writing.
- Ability to work professionally with other employees, agencies, clients, and the public.
