Job Title: Service Writer - Diesel Mechanic Shop
Department: Service/Maintenance
Reports To: Shop Manager or Service Manager

Job Summary:

We are seeking an experienced and organized Service Writer to support daily operations in our diesel mechanic shop. This role bridges the gap between customers and technicians, ensuring accurate work order creation, repair estimates, and smooth communication. The ideal candidate will have knowledge of diesel equipment and excellent customer service skills.

Key Responsibilities:
  • Greet walk-in and phone-in customers, listen to diesel vehicle concerns, and document service needs accurately.

  • Open and manage work orders, including detailed descriptions of customer concerns and technician findings.

  • Provide clear estimates for labor and parts based on technician diagnostics and standard repair times.

  • Communicate clearly with diesel technicians and translate technical information into understandable language for customers.

  • Schedule maintenance and repair work based on shop capacity and technician availability.

  • Monitor job progress and keep customers informed about status updates, delays, or additional repair recommendations.

  • Ensure all repairs are authorized before work begins and all necessary paperwork is completed.

  • Close work orders, review completed services with customers, and handle payment transactions.

  • Maintain service records and ensure proper documentation for warranty or insurance claims.

  • Coordinate parts ordering with the parts department or vendors.

Qualifications:
  • High school diploma or equivalent; additional technical or diesel-specific training is a plus.

  • 2+ years of experience in a service writer role, preferably in a diesel, heavy-duty truck, or fleet service environment.

  • Familiarity with diesel engine systems, truck components, and common repair procedures.

  • Strong communication and interpersonal skills with a focus on customer satisfaction.

  • Proficient with service software.

  • Highly organized, with the ability to multitask and prioritize in a fast-paced shop environment.

  • Basic understanding of parts pricing and labor time estimation.

Work Environment:
  • Shop office environment within an active diesel repair facility.

  • Frequent interaction with technicians, vendors, and customers.

  • May require occasional time on the shop floor or near vehicles.
