The Service After Sales Coordinator is a dynamic and versatile role, supporting CES - Calvary Extended Services. This position plays a pivotal role in maintaining operational efficiency through coordination, data analysis, financial support, and process automation. The ideal candidate will be tech-savvy, process-driven, and comfortable working with cross-functional teams to manage systems, documentation, and customer success workflows. This role ensures the smooth execution of service operations, field service scheduling, Salesforce and Microsoft 365 administration, internal reporting and travel support.
Key Responsibilities: - Coordinate and support day-to-day operations of the Calvary Extended Services team.
- Support scheduling and coordination of field service activities, including technician assignments, travel, and on-site logistics.
- Maintain timely and accurate documentation of all service-related cases from intake to resolution.
- Support in the management of all Salesforce opportunities
- Work collaboratively with the Field Services Manager and Equipment Lifecycle Manager to ensure smooth service delivery and escalation support for all Service and Spare parts projects.
Financial & Reporting Support - Track and manage time & materials expense reports and technician invoicing.
- Monitor daily financial performance, visual management boards, and KPIs.
- Maintain department financial forecasts and highlight variances proactively.
- Maintain Salesforce dashboards, Excel trackers, and budget performance tools for internal visibility.
Data Analytics & Customer Success - Use data analytics to assess and improve customer satisfaction and service performance.
- Generate reports related to customer feedback, service success criteria, and field team effectiveness.
- Support tracking of customer success metrics and actions required to meet them.
Process Automation & Systems Management - Identify opportunities to automate existing processes using AI-enabled technologies.
- Ensure ISO procedures and documentation is current and compliant.
- Support internal value stream mapping exercises and process improvement initiatives.
Requirements
Qualifications: - Post-secondary education in Business Administration, Operations, Industrial Engineering, After Sales support or related field.
- 3+ years of experience in a coordinator, service operations, or admin role-preferably in industrial automation or technical services.
- Experience with Salesforce, Microsoft 365,
- Demonstrated proficiency in Excel (pivot tables, dashboards, analytics) and PowerPoint
- Understanding ISO standards and practical experience maintaining ISO documentation.
- Experience with value stream mapping or continuous improvement initiatives is an asset.
- Strong organizational skills with an ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Knowledge of field service operations or lifecycle management in a technical services environment is favorable.
