Primary Purpose Provides key technical and administrative support to multiple attorneys on complex, confidential matters. Working under limited supervision, performs high level administrative/clerical functions including: word processing or typing letters, memoranda and forms, orders supplies, maintains files, answers telephones, schedules appointments/conferences, makes travel arrangements, receives visitors, and sorts mail. Participates in a variety of department efforts by providing a wide range of senior level administrative support requiring advanced skills.
Duties and Responsibilities - Compiles and coordinates work from external sources to produce large, sensitive and complex documents under severe time constraints. Products may be for signature of most senior officers and are often submitted to courts, regulatory and other state and federal agencies.
- Develops and maintains files for large, complex matters.
- Arranges and monitors meetings; makes travel arrangements; processes complex travel reimbursement requests.
- Maintains timely and accurate calendars and dockets.
- Serves as Department point of contact with senior Company executives, internal clients, outside counsel, officers of the court, and the public in general.
- Reviews vendor invoices for accuracy and completeness; prepares voucher requests for payment of invoices.
- Assists attorneys and others to resolve user-level difficulties with automated systems.
- Performs other duties as assigned (no more than 5% of duties).
Education - H.S. Diploma/GED or equivalent is required.
Experience - 5+ years of experience with recent applicable legal secretary experience required.
Knowledge, Skills and Abilities - Must be able to type at least 60 wpm.
- Requires in-depth knowledge of networked word processing systems, including templates, and must be able to troubleshoot and fix common malfunctions.
- Requires detailed knowledge of document management, legal case management, spreadsheet, and graphics applications.
- Must think clearly and deal professionally and calmly with others under stressful conditions.
- Requires superior spelling and grammar, verbal and written use of the English language, including proofreading and editing skills.
- Must be able to understand Sempra business objectives and strategic initiatives.
HYBRID: Work a combination of onsite and remote days each week, typically 3 days per week onsite.
