Senior Executive Assistant to the VP Translational Safety & Risk Sciences (TSRS)

What you will do

In this vital role you will be responsible for performing senior level administrative support activities for the Vice President (VP) of TSRS and the TSRS Senior Leadership Team (SLT) - one Associate VP and three Executive Directors. The Senior Executive Assistant's work assignments are complex in nature and require strict confidentiality as well as considerable tact, judgment, proactive thinking, creativity, and initiative. The Senior Executive Assistant must be able to manage several priorities in a continually changing environment.

The Senior Executive Assistant directs work to the VP's direct reports where appropriate; this requires knowledge of the organizational structure and responsibilities of each of the VP's direct reports.

Key Responsibilities:
  • Effectively managing the calendar of the VP and the TSRS SLT
  • Scheduling domestic and international travel arrangements, ensuring compliance with company policies
  • Timely and efficient processing of expense reports and review of expense reports submitted for VP approval
  • Manage headcount/recruitment tracking
  • Managing logistics and performing key tasks for a variety of business meetings (TSRS SLT meetings/dinners, TSRS on/off site meetings and team building events, all staff meetings, staff engagement activities, etc.), including preparing agendas, meeting materials/business documents, presenters, and tracking action items
  • Backing up other administrative assistants when they are out of the office
  • Leading and developing a high-performing Administrative Coordinator, as a direct supervisor

Basic Qualifications:

Associate's degree and 4 years of administrative support experience

Or

High school diploma / GED and 6 years of administrative support experience

Preferred Qualifications:
  • Bachelor's degree with 5+ years of experience in an administrative support role supporting large teams at different levels
  • Ability to receive information and requests from e-mail, MS Teams Chats, OneNote, and verbally
  • Excellent organizational skills and ability to balance the needs of multiple people
  • Detail-oriented and excellent travel and meeting planning skills
  • Good external customer communication skills
  • Expert level PC skills in Outlook, MS Word, PowerPoint, Excel, SharePoint, and advanced typing skills
  • Excellent time management and project management skills with the ability to prioritize projects of greater importance
  • Calm under pressure and a strong reputation for being very approachable by staff at all levels in the organization
  • Strong interpersonal skills that exude expertise, professionalism and collaboration
  • Managing multiple calendars, including coordination across multiple time zones
  • Excellent written, verbal, and presentation skills in communicating key business information
  • Developing strong collaboration with the administrative network across the enterprise that benefits TSRS, Research and Amgen
  • Experience providing administrative support to remote staff
  • Ability to work in a fast-paced environment with an effective, can-do attitude
  • Absolute discretion and confidentiality, as well as judgment, creativity, flexibility, and initiative in resolving issues
  • A proactive approach to identifying issues and finding efficient solutions

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
