Operating in five U.S. airports, NewsLink has a dedicated team of more than 50 employees working across our travel convenience stores, retail stores, restaurants, cafés, warehouse and distribution center, and corporate offices.



ROLE OVERVIEW

We are seeking an Sr. Executive Administrative Assistant to support the Senior Vice President (SVP) of Operations and Development. This role provides high-level administrative and logistical support, enabling the SVP and their team to focus on strategic priorities. The ideal candidate is proactive, highly organized, and thrives in a fast-paced, collaborative environment. They must anticipate needs and support operational efficiency at the executive level.


This role requires exceptional attention to detail, the ability to manage multiple priorities independently, and strong communication skills. Spanish language proficiency is preferred, and the ability to obtain a security clearance is required.



KEY RESPONSIBILITIES:

  • Manage complex calendars and assist with expense tracking and reimbursement processing as needed.
  • Arrange travel logistics, including flights, accommodations, and ground transportation
  • Anticipate and resolve logistical issues on behalf of the SVP.
  • Monitor and respond to emails and meeting invitations.
  • Prepare reports, presentations, and materials to support meetings and high-level decisions.
  • Serve as a liaison between the SVP and internal/external stakeholders.
  • Coordinate cross-functional projects and strategic initiatives.
  • Conduct research and compile information for key priorities.
  • Participate in meetings when requested and take accurate, actionable notes.

QUALIFICATIONS/REQUIREMENTS:

  • 3-5 years of experience as an Executive Assistant supporting senior leadership.
  • Proven ability to manage calendars, logistics, and competing priorities.
  • Expert in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong written and verbal communication skills.
  • High attention to detail and organizational excellence.
  • Self-starter with strong problem-solving and follow-through skills.
  • Willingness to provide ad-hoc support outside standard business hours.
  • High level of discretion and emotional intelligence.
  • Bachelor's degree required.
  • Spanish proficiency preferred.
  • Ability to obtain a security clearance.
  • Physical ability to perform a combination of frequent sitting, standing, walking, climbing, crouching, bending, pushing, or pulling, as required by the role.
